Summary:


Primary Role: Perform all administrative tasks related to customer care coordination, job document management and tracking, assist with job scheduling and customer satisfaction activities. Perform basic accounting duties relating to accounts receivable, accounts payable, timecard tracking and reporting, and per diem. Perform general duties such as drafting correspondence, electronic filing and digital reports management for input and accuracy. Logistics support with reservations, deliveries, and fleet management of the Commercial Large Loss & Storm Division.

This administrative support position coordinates, controls, and performs work activities remotely, or in person as needed, as an essential role for restoration projects to successfully fulfill service needs and facilitate a positive customer experience. Facilitating timely and accurate data entry and feedback to all interested parties within the division while representing the best in the cleanup and restoration industry who travel to affected areas impacted by weather related events. These events include, but are not limited to: Micro-bursts, tornados, wildfires, deep freeze events, named weather events such as hurricanes, etc., to assist other SERVPRO franchises in helping those affected in the areas of need. This is possibly a traveling position during storm events, giving you the opportunity to help those in need, all while making an above average income. While not traveling, the Commercial & Storm team members will be assisting in losses in our home territory of West Central PA.

Primary Responsibilities:


  • Answer phones, provide customer service, and maintain log of all calls.
  • Always respond to customers in a courteous and professional manner.
  • Answer questions, provide information and as required, direct calls to the appropriate person for assistance and track all calls entering log into appropriate software.
  • Schedule coordination: Ensure work is scheduled and crews are utilized efficiently, resulting in balanced job scheduling.
  • Manage Storm Work-in-Progress/Disaster Response Manager Mobile (WIP/DRMM)
  • Ensure staff are updated on daily schedules and job status, resulting in informed crews.

Secondary Responsibilities:

  • Communicate with Restoration Supervisors at high frequency intervals.
  • Communicate with Restoration Manager and other office staff on project progress and issues.
  • Communicate with building owners and adjusters to keep everyone up to date with project status as needed.
  • Assist in logistics as needed:
  • Travel itinerary
  • Accommodations - Hotel/Airbnb/VRBO etc.
  • Vehicle rental
  • Per diem requirements and distribution
  • Other tasks/duties as required.

Necessary Experience and Skill Set:

  • Ability to travel.
  • The desire to help those in need.
  • Strong work ethic.
  • Strong oral communication skills.
  • Minimum 1 year of experience in administration/clerical.
  • Supervisory skills and self-motivation with the ability to work autonomously.
  • Strong communication skills, oral and written.
Formal Education/Training:


  • High school diploma/GED
  • IICRC certification training will be provided for the right candidates.

Physical and Work Environment Requirements:


Driving for the regulatory DOT timeline to gain access to affected areas. Regularly lifting 10 pounds independently, occasionally lifting up to 40 pounds, walking and standing for long periods of time, driving, sitting, working with and around chemicals, and loud noises.
