Title: Loan Operations Specialist

Department: Loan Operations

Reports to: Senior Vice President and Manager of Loan Operations

Summary: The position of Loan Operations Specialist is responsible for performing routine and intermediate duties related to consumer and business loan applications; generating loan documentation for all types of loans; processing consumer, commercial, and real estate loan payments and advances on lines of credit; maintains appropriate files and records; and promotes business for the Bank by maintaining good customer relations and referring customers to appropriate staff for new services. The position of Loan Operations Specialist ensures schedules and deadlines are met, coordinating with other departments as needed, and also is required to be fully knowledgeable and skilled in all areas of servicing loans and is expected to provide leadership, training, and support to less experienced loan servicing specialists and other staff members.

Assure compliance with all Bank policies and procedures and all applicable state and federal banking regulations.

Primary Responsibilities and Duties:

  • Verify requests for loan documentation and supporting documents for accuracy, completeness, and proper approval.
  • Prepare and compile loan documentation (including but not limited to Promissory Notes, Security/Pledge Agreements, Mortgages, and other supporting collateral documentation) for a variety of loan types (i.e., consumer, commercial, Ag, real estate, construction, SBA, etc.), ensuring that all documentation is prepared accurately and in compliance with all applicable federal, state, and local laws, as well as Bank policies and procedures.
  • File appropriate collateral documentation to perfect the Bank’s lien (UCCs, Mortgages, Deeds of Trust, Title Applications, etc.)
  • Book loans and leases, apply payments, and perform account maintenance on the Bank’s core system.
  • Review booked loans and leases, payments, and maintenance completed the previous day for accuracy.
  • Communicate with lenders and administrative assistants regarding loan or collateral-related issues.
  • Scan and maintain electronic credit and other files for documentation and compliance.
  • Research information from credit files and loan history when required.
  • Prepare Bank issued Letters of Credit, together with supporting documentation.
  • Analyze and process incoming draws, review documentation for proper approvals, and make loan disbursements as instructed.
  • Process the cash management setup, modification, and deletion per loan sweep contracts.
  • Print loan/lease coupon books as necessary.
  • Close out paid loans and prepare and file collateral releases when instructed (i.e., UCC, vehicle liens, and mortgage).
  • Assist customers and loan officers by responding to routine inquiries about account balances, loan balances, pay-off requests, and service requests.
  • Provide effective customer service and assists in resolving problems within given authority.
  • Maintain current knowledge of loan accounting policies and procedures
  • Work with insurance policies and escrow accounts; contact agents; work closely with loan officers and customers to ensure proper insurance is received and maintain escrow accounts.
  • Monitor collateral tickler system to ensure proper receipt of UCC, Mortgages, Title Policy filings, and other documentation.
  • Print, sort, distribute and mail daily and monthly loan reports, notices, and statements to applicable departments or customers.
  • Other duties as assigned
