We are looking for a dedicated and detail-oriented Case Management Coordinator to support our attorneys (and retired judges) in managing a diverse caseload. The successful candidate will play a crucial role in the litigation process, conducting research, organizing documents, and assisting in trial preparation. This position offers an excellent opportunity for professional growth.
Case Management Coordination (approx. 50%)
- Open case files and manage initial requirements.
- Assist attorneys in preparing legal documents such as pleadings, motions, and briefs.
- Conduct thorough legal research and analyze case law, statutes, and regulations.
- Organize and maintain case files, exhibits, and other relevant documents.
- Assist in drafting and reviewing legal correspondence and contracts.
- Coordinate and manage document production, including e-discovery.
- Prepare deposition summaries and assist in witness preparation.
- Schedule hearings, depositions, and other court-related events.
- Assist in trial preparation, including organizing exhibits and trial binders.
- Stay updated on relevant legal developments and changes in court rules and procedures.
Optimal Dispute Resolutions (ODR) responsibilities (Approximately 50%):
- Support other Mediators/Retired Judges when needed with document prep, mediation, forms, and scheduling.
- Vetting online leads by email or phone.
- Conflict Checks:
- Prepare and submit conflict checks in a timely manner.
- Follow up with the attorneys to determine case involvement or a possible waiver, reporting findings to the firm’s general counsel and Shareholder.
- Non-related ODR support needs:
- Monitor Sr. Paralegals email for ECF docket filings when OOO – Process documents, disseminate important information to Shareholder, docket calendars.
- File Pleadings via State and Federal Electronic Filing Systems.
- Mediation Support:
- Draft Mediation Agreements for review.
- Follow up on timely return of mediation agreements from Counsel.
- Reserve conference rooms and communicate with the Concierge team.
- Prepare forms to direct the opening of New Client Matters.
- Schedule Pre-Mediation Conferences via Zoom.
- Prepare Mediation Attendee lists.
- Issue appropriate Zoom link to virtual attendees for Mediation:
- Document Preparation/ Index/Tab/Label Mediation Materials.
- Upload case-related correspondence, agreements, and mediation submissions to iM case management software.
- Organize documents for proper scanning for digital archive (USB).
- File Closure.
- Minimum of 2-5 years of experience as a litigation paralegal or legal admin.
- Degree preferred but not required.
- Strong knowledge of legal concepts, procedures, and terminology.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines.
- Attention to detail and a high level of accuracy in work product.
- Effective written and verbal communication skills.
- Strong problem-solving and analytical abilities.
- Familiarity with electronic filing systems and e-discovery processes.
