Purchasing Coordinator

Full Time / Part Time: Full Time

FLSA Classification: Hourly

SUMMARY:

Seeking a skilled Purchasing Coordinator with a minimum of 3 years of experience in purchasing, accounts payable, or similar roles. The ideal candidate will possess knowledge of procurement processes and best practices, proficiency in Microsoft Excel, familiarity with cloud-based financial systems such as NetSuite, and strong organizational and communication skills. Responsibilities include processing purchase orders, vendor account reconciliations, assisting with supply sourcing, and providing clerical support to the Supply Chain Management team.

DUTIES AND REPSONSIBILITIES:

  • Process Purchase orders and any resulting change orders.
  • Perform monthly vendor account reconciliations to ensure accuracy by reviewing statements and unbilled purchase orders.
  • Corresponds with user departments on goods receipts, maintaining consistent open PO accuracy.
  • Monitors the insurance tracking system to ensure that all contractors maintain their current obligatory insurance coverage.
  • Assist SCM with the sourcing of supplies, materials, equipment, and services.
  • Assist SCM by identifying any issues with purchasing discrepancies (i.e. incorrect quantities, damaged goods, returns and logistical issues.
  • Performs clerical and technical support to the SCM throughout each project procurement process.
  • Performs other job-related duties as assigned.

EDUCATION:

  • High School Diploma or GED Equivalent

EXPERIENCE:

  • Minimum of 3 years of experience in purchasing, accounts payable or similar roles.
  • Understanding of cloud-based financial systems (e.g., NetSuite or similar)

SKILL REQUIREMENTS:

  • Knowledge of purchasing/procurement cycle, process, and best practices.
  • Proficiency in Microsoft Excel, including pivot tables and VLOOKUPs.
  • Familiarity with requisitions, BOL’s, packing slips, and vendor invoices.
  • Knowledge of inventory management.
  • Strong organizational skills, attention to detail, excellent communication, and interpersonal skills.
  • Ability to work independently and meet deadlines.
  • Experience with cloud-based financial systems, preferably NetSuite or similar platforms, is preferred.
