SUMMARY: Position is located onsite in Houston, Texas. Remote candidates will not be considered. The Executive Assistant will be working alongside the Chief Financial Officer. The Executive Assistant will be responsible for assisting Executive(s) with high-level administrative work, including highly confidential items, organizing meetings, documentation, schedule management, data reporting, phone, and department coverage.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Manage Executives schedule and coordinate internal and external meetings.
  • Manage Executives expense reporting process.
  • Screen’s visitors, phone calls or physical mail.
  • Formatting and consolidation of quarterly financial reports for distribution.
  • Help with coordinating business trips for Executives, team events, and events with external parties.
  • Prepare department email communications, as requested.
  • Monthly invoice handling (Phone, Internet, etc.).
  • Maintain data logs (Holiday gift tracking, Property tax payments, etc.).
  • Deliver vendor checks to internal personnel.
  • Work with office services group to mail out various tax filings.
  • Manage daily operation of petty cash fund for Accounting Department.
  • Manage the daily operation of the purchasing card for users and the monthly reporting required.
  • Create new vendors in AP and accounting system, while monitoring for IRS regulation.
  • Manage the EZ Tag account and issuance of all new EZ Tag registrations.
  • Manage and maintain corporate policies in the accounting and finance departments on a quarterly basis.
  • Various other administrative tasks for the accounting and finance departments.
Requirements:

EDUCATION AND REQUIRED EXPERIENCE:


  • High School diploma and 5+ years of related experience
  • A combination of business-related coursework and administrative experience can be submitted.
  • Some accounting, finance, or real estate background desired.

SKILLS, QUALIFICATIONS, AND OTHER REQUIREMENTS:


  • Ability to read, analyze, and interpret general technical procedures or governmental regulations.
  • Ability to write reports and business correspondence.
  • Ability to effectively present information and respond to questions from groups of managers and clients.
  • Must be able to understand and confidently and effectively communicate in English to tenants, vendors, clients, and employees.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
  • Proficient in the use of personal computer and Microsoft applications including Outlook, Word, Excel, Power Point, and Adobe Acrobat.
