As the IC Recruiter/Operations Administrator you will primarily oversee the program to recruit and onboard independent contractors for all building maintenance services at City Wide. This person will be responsible for prospecting via phone calls, email campaigns and attendance at local networking events to find independent contractors that meet project scope requirements for both janitorial and other services.

What you will do...

  • Recruit and onboard sufficient ICs to service City Wide’s janitorial and non-janitorial accounts.
  • Manage all IC recruiting activities – online postings, e-mail advertising, direct mail/radio advertising, networking events, and social media activities to ensure a consistent flow of new Independent Contractors candidates.
  • Conduct the initial vetting/ screening for all prospective Independent Contractors.
  • Utilize the City Wide IC Checklist to complete Independent Contractor onboarding by collecting, verifying, and filing all required documentation for Independent Contractors compliance.
  • Enter and maintain Independent Contractors’ records in CRM.
  • Inform Operations team of all new independent contractors to ensure they are placed in a timely manner.
  • Complete ongoing audits (30, 60, 90 days, 6 months, 1 year) of Independent Contractors files to ensure they are up to date and compliant with City Wide requirements.
  • Coordinate monthly ICDD events with the Operations team.
  • Create, send, update, download and keep current all Exhibit A’s – follow up and monitor. Update information in Customer Relationship Management (CRM) software and upload signed Exhibit A’s.
  • Set up Operations team with potential independent contractors to ensure they meet the requirements and qualifications for scope of work at City Wide.
  • Support Operational administration, not limited to: customer and IC document creation/management, supply inventory management, regulatory compliance, CRM management, operations support and client services support.
  • Assist with PB Refunds by submitting information to Accounting.
  • Attend Sales/ Operations Hand Off Meetings (larger accounts only).
  • Help send/ monitor Emfluence, Client surveys and promoting other services.
  • Manage City Wide store inventory.
  • Help maintain social media content.
  • Develop and Manage Independent Contractor (IC) Newsletter.
  • Answer office phone, route calls and take messages.
  • Give support to Owners & Operations Team in any administrative tasks as needed.
  • Other duties as necessary

Requirements
