Position Summary

The Receptionist is responsible for providing excellent customer service to all visitors, efficiently handling phone calls, managing mail and package services, and assisting with office supplies,.

Essential Functions:

Visitor Services:
    • Greet all visitors courteously, assess their needs, and direct them to the appropriate person or office.
    • Maintain a welcoming reception area and ensure it is organized and tidy.
Phone Operations:
    • Answer the switchboard to handle incoming and interoffice calls effectively.
    • Assist with inquiries and provide information as needed.
Mail and Package Handling: 
    • Receive and process all outgoing mail, adding postage and sorting for timely delivery.
    • Provide packaging and labeling services for outgoing parcels sent via Federal Express.
    • Manage the receipt, sorting, and posting of incoming mail from the United States Postal Service and courier services.
Office Supplies:
    • Place orders for office and kitchen supplies, ensuring an adequate inventory.
    • Maintain accurate records of office supplies and toners.
Mailroom Maintenance:
    • Organize and maintain the mailroom to ensure efficient operations.
    • Periodically check fax machines and distribute incoming faxes to designated interoffice mailboxes.
Additional Responsibilities:
    • Assist in the binding of presentations for various departments.
    • Manage parking assignments.

Minimum Requirements:
High school diploma or equivalent (preferred).
Typing speed of 40 words per minute.
Proficiency in Outlook, Word, and Excel (preferred).
Ability to read and comprehend simple instructions, short correspondence, and memos.
      Strong multitasking and prioritization skills.

This position requires a proactive and organized individual capable of managing various tasks simultaneously. The ideal candidate should possess excellent communication skills, attention to detail, and a customer-focused approach.

Minimum Requirements:
  •  High school diploma, equivalent preferred.
  •  Typing 40 wpm
  •  Outlook, Word, and Excel experience preferred.
  •  Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.
  •  Human relations skills to deal effectively with visitors/customers in person or on the telephone.
  •  Ability to multi-task.
  •  Ability to prioritize.
