Operations Supervisor

Transportation Department

Pay Range - $20.50 - $24.00 per hour

POSITION SUMMARY:

Supervises and coordinates activities of intake and dispatching operations, daily log schedules and entry of completed trip logs and applications. Primary liaison between public and private medical facilities, social service agencies, and clients and drivers. Supervises Dispatchers, the Transportation Coordinator, the Fleet Coordinator, and the Driver Supervisors. Is the liaison with Finance as the Billing Specialist and supports the Director with administrative duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Supervisor:

  • Supervises program and job performance of employees; hires, develops, counsels, disciplines, trains/cross trains and coaches, employees
  • Acts promptly to resolve employee complaints
  • Keeps informed and enforces all agency policies and procedures.
  • Monitors calls to observe employee's demeanor, technical accuracy, and conformity to agency policies
  • Investigates client complaints and recommends courses of action.
  • Determines work procedures, prepares work schedules, and expedites workflow.
  • Is a back up to all office staff functions including Intake, Dispatch and Fleet Coordinator including proficiency in the respective software platforms.
  • Trains new hire office staff and some Driver training.
  • Coordinates assistance for backlogged duties, i.e. Billing, phones, filing

Billing:

  • Ensure timely submission, and accuracy, of invoices processed for Modivcare, DHHS and any other applicable contract including MEMIC & EAA.
  • Oversee the Volunteer Driver and self-drive mileage reimbursement.
  • Ensure timely submission, and accuracy, of the Transportation PO's and PRF's.
  • Oversee the reconciliation of fleet gas cards and receipts.
  • Handle cash and process credit card payments for public bus fare.
  • Track what was billed, rebilled, dates, amounts due and amounts received. Will secure revenue through accurately processing invoices and reconciling variances. Will follow up on any disputes and bring to resolution.
  • Input, in the relevant system, all the invoice drafts to be approved by the Finance Director.
  • Check for any anomalies on the invoice and bring to the attention of Finance Director and make the necessary corrections.
  • Ensure a copy of all the invoices are filled in the operational files.

Administration:

  • Responsible for ensuring Transportation Department compliance with brokerage, state and federal laws, rules, and guidelines. Ensures drivers remain compliant with all required trainings.
  • Will collaborate with Human Resources on the new hire process (for Staff and Volunteers) by collecting and processing all required documents. Ensures all required new hire training is completed.
  • Responsible for scheduling new hire and random drug and/or alcohol screenings in a timely basis as required for new hires or requested by Human Resources.
  • Reports employee accidents, incidents, or injuries to the Human Resources Director.
  • Responsible for the DHHS, low income and TAP programs by receiving the application, determining eligibility, entering data, and maintaining client files.
  • With the Driver Supervisors, will ensure drivers are updated of any Transportation and agency policy changes.
  • Follows procedures defined by Transportation department and the agency.
  • Performs functions of specific activities and projects as assigned by Transportation Director.
  • Performs general office duties such as typing, filing as required.
  • Oversee documentation of procedures for this position and any other area.
