Operations Specialist

Career TEAM's Operations Specialist will be responsible for providing support for the operation of Workforce Solutions East Texas office locations. Duties will include backing up Resource Room and registration staff as well as performing other duties critical to the operation of the locations and program operated by Workforce Solutions East Texas.

Your Impact on Career Team's Success:

  • Professional greeting, registration, and assistance to Workforce Solutions East Texas customers as needed to back-up Resource Room and registration staff.
    • Discern and address the needs of incoming customers.
      • Assist in engaging in resources available to address expressed needs.
      • Refer to resources as appropriate.
      • Provide program support (completion of forms, etc.) based upon review of Case Management Records.
    • Support program activities
      • Start and proctor assessment activities.
      • Provide updates to customers regarding application/eligibility status.
      • Assist with Program Orientations and other Workforce Services.
    • Assist with Supportive Services as needed.
      • Distribution and inventory maintenance of blank gas cards.
      • Assist with maintenance of office supplies and equipment.
      • Maintain meeting room facilities and bookings.
      • Provide support to external entities utilizing Workforce meeting facilities.
    • Data entry and reports production as needed.
    • Engage in other activities as needed to support customers and services available through Workforce Solutions East Texas.

Actual Duties:

  • Provide back-up as needed for checking customers in when they arrive and assist with their direction in the office. (Assure use of Vos Greeter product.)
  • Provide back-up as needed to assist customers with utilization of available Workforce tools and resources such as: Work in Texas (WIT), Career Edge and provide support with programmatic and employment referrals.
  • Provide back-up as needed for answering incoming calls.
  • Assist Career Advisors with collecting, cataloging, and uploading documentation provided by potential Workforce customers.
  • Conduct outreach and participate in activities/events relevant to increasing performance outcomes.
  • Provides back-up for conducting/presenting Program orientations.
  • Registers customers for taking various online assessments.
  • Monitors students while taking online assessments and communicates with Case Management staff regarding assessment status.
  • Conducts monthly PII Audits.
  • Provides and tracks referrals to community resources.
  • Entry of Rapid Response program registrations as needed.
  • Responsible for monthly office supply orders.
  • Maintains and updates Resource Area digital display unit.
  • Gas card custodian and possibly bus pass inventory responsibility.

To Qualify for This Role, You Must Have:

  • Minimum of a HS Diploma or GED
  • 2+ years of administrative office experience and experience delivering high quality customer service
  • Must be Microsoft Office proficient. Technical competencies are a must; trouble shoot laptop, copier, and printer issues, replace toner as needed and keep copier fully stocked
  • Impeccable customer service skills, including patience and discernment
  • Ability to multitask
  • Ability to utilize coaching techniques with customers to drive exceptional performance and quality
  • Ability to utilize Excel to create reporting/tracking systems and data entry
  • Clear communication skills, creativity & resourcefulness
  • Computer networking proficiency sufficient to connect laptops to projection equipment
  • Patience is crucial in this position as it is the "face of the workforce"
  • Must have valid driver's license and adequate vehicle insurance coverage

Pay Range: $15/hr

Working conditions are primarily in an office environment with travel to other locations within the East Texas service area possible.
