Medical Lab Administrative Assistant Job description:
This is an opportunity to join the pathology laboratory of a large healthcare organization. We are seeking a detail-oriented and organized individual to join our Pathology laboratory as an Administrative Assistant. The primary responsibility of this role is to provide administrative support to the laboratory staff and ensure smooth operations of the facility. The ideal candidate must possess excellent communication skills and be proficient in handling medical laboratory software.
Responsibilities:
1. Greet and assist visitors, patients, and laboratory personnel in a polite and professional manner.
2. Answer incoming calls and inquiries, redirecting calls to appropriate personnel as needed.
3. Organize and maintain patient records, ensuring accuracy and confidentiality.
4. Ensure the smooth flow of paperwork, including requisitions, reports, and other laboratory documentation.
5. Schedule appointments.
6. Coordinate sample collection and ensure proper labeling, packaging, and transport to external laboratories when necessary.
7. Maintain inventory of supplies, order replacements as needed, and ensure their appropriate storage.
8. Prepare and maintain laboratory reports, including statistical data, records, and quality control documents.
9. Adhere to all laboratory safety protocols and ensure compliance with healthcare regulatory requirements.
10. Maintain knowledge of medical laboratory software and update relevant information as necessary.
Requirements:
1. High school diploma or equivalent; additional certifications in medical administration or related fields are a plus.
2. Proven experience in an administrative or customer service role, preferably in a Pathology laboratory or healthcare setting.
3. Proficiency in using various Pathology laboratory software and Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
4. Strong organizational and time management skills, with the ability to prioritize tasks and handle multiple responsibilities simultaneously.
5. Excellent communication skills, both verbal and written, to interact with laboratory personnel and clients.
6. Detail-oriented mindset with a focus on accuracy and maintaining confidentiality.
7. Knowledge of medical laboratory operations, terminologies, and procedures.
8. Ability to work effectively in a team-oriented environment while also demonstrating independent problem-solving skills.
9. Familiarity with laboratory safety protocols and healthcare regulatory compliance.
Working Conditions:This is a Part-time position, typically operating during regular business hours. However, occasional evening or weekend work may be required based on the needs of the laboratory. The job is primarily based in an office or laboratory setting, with occasional interaction with external laboratories or clients.
