We are seeking a highly organized and proactive Executive Assistant to support the Trixie Motel senior management team. The ideal candidate will be the heart of our executive operations, providing comprehensive administrative support, managing communications, and assisting with event management and guest relations. This role requires a detail-oriented professional with exceptional communication skills and the ability to manage multiple tasks efficiently in a fast-paced environment.


Key Responsibilities:


  • Email Management: Triage incoming emails, prioritize responses, and ensure timely communication on behalf of the executive team. Draft, review, and send correspondences as directed.
  • Call Handling: Manage incoming calls with professionalism, including screening, routing, and taking messages as appropriate. Provide general information to callers and escalate issues as necessary.
  • Meeting Coordination: Assist in the preparation and coordination of meetings, including setting up video/audio conferencing, preparing agendas, and distributing materials. Take and distribute minutes as required.
  • Event Management Support: Provide support in planning and executing hotel events, including liaising with vendors, coordinating logistics, and managing guest lists.
  • Guest Relations: Assist in managing high-profile guest intakes and special requests, ensuring a personalized and exceptional service experience.
  • Document Management: Prepare, organize, and maintain documents and files for easy retrieval and efficient management. Ensure confidentiality of all sensitive information.
  • Administrative Support: Perform various administrative tasks, including but not limited to, data entry, copying, filing, and expense report management.
  • Project Assistance: Support the executive team with ongoing projects, providing research, coordination, and implementation assistance as needed.
  • Team Collaboration: Work closely with Motel staff to facilitate communication and ensure the executive team is well-informed of hotel operations and guest feedback.


Qualifications:

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role, preferably in the hospitality industry.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling and email management tools.
  • Ability to handle confidential information with discretion.
  • Flexibility to adapt to changing priorities and manage multiple tasks simultaneously.
  • High level of professionalism and excellent customer service skills.
  • Experience in event management or coordination is a plus.


Education:

  • Associate's or Bachelor's degree in Business Administration, Hospitality Management, or a related field is preferred.


Work Environment:

  • Standard office hours apply, but flexibility is required to accommodate meetings and events outside of regular hours.
