Job Description
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Prepare and issue procurements including IFB’s/RFP’s and conduct small purchase activities according to established procedures; monitor IFB’s and RFP’s evaluation and selection processes; conduct pre-bid meetings and public bid openings.
• Draft and prepare contracts according to established procedures; participate in review of contracts for goods and services and verify compliance with applicable procurement rules, policies, and procedures.
• Serve as a liaison to insurance brokers and carriers, vendors and other third parties; work directly with agency’s legal counsel for tasks relating to contract development, public contract code compliance, protest procedure compliance and other legal matters.
• Provide work-related guidance in relation to assigned activities.
• Conduct reviews of various projects as assigned; perform duties to provide ongoing improvement to procurement operations, streamline work processes and work cooperatively with others to provide quality customer service.
• Direct the preparation and maintenance of a variety of narrative and statistical reports, records and files related to assigned activities.
• Draft and issue public notices, memoranda, and addenda via agency website; collaborate with management and agency staff regarding solicitation documentation.
• Communicate with other administrators, personnel, and outside organizations to coordinate activities and programs, resolve issues and conflicts and exchange information; respond to public requests for procurement-related information.
• Attend and conduct a variety of meetings as assigned.
• Operate a variety of office equipment including a copier, fax machine, calculator, computer and assigned software; drive a vehicle to conduct work.
• Assist in procurements for future projects; perform related duties as assigned and recommend purchases accordingly.
