EDUCATION / EXPERIENCE

Must be at least 18 years of age, have a High School Diploma, a GED or equivalent experience. Previous office experience preferred will train a motivated individual. Must be computer literate and able to type 45 WPM. Candidate should be familiar with both word and Excel. Infinium I Series/SSA Global Websphere experience helpful.


SUMMARY

This position assists in the purchasing of goods and services for the EDC enterprises. This includes processing requisitions and purchase orders along with maintaining vendor files. This position works closely with EDC department managers and supervisors, Accounts Payable, Receiving and outside vendors.


ESSENTIAL JOB FUNCTIONS

  • Be Knowledgeable and adhere to purchasing procedures and policies.
  • Review requisitions daily according to set deadlines to determine the type of processing required and prepare purchase orders within 24 hours of receipt or requisition approval.
  • Accurately complete Purchase Orders with attention to all detailsl including but not limited to; type, vendor, department, valid item information, quantity, cost, dates, and account codes.
  • Submit purchase orders to vendors and verify confirmations of the delivery to the vendor & receipt by the vendor of all purchase orders within 48 hours of submitting for availability, pricing, and expected delivery.
  • Answer telephones and respond to phone inquiries in a professional timely manner.
  • Accurately file and maintain vendor files on a daily basis.
  • Understand accounting dictionary and general ledger account codes.
  • Revise purchase orders as needed to complete the order process.
  • Completion of general office duties as needed.
  • Other duties as requested by Supervisor.

Must have excellent customer service and communication skills both verbal and written. Must be a team player with a positive attitude. Must be highly organized and able to handle multiple tasks at one time. Must be able to complete tasks and projects in a timely manner by prioritizing obligations and time. Must possess the ability to work with various personalities while maintaining impartiality. Must respond to supervisory guidance and assignments and accept constructive criticisms in order to learn new, updated information. The needs for quickness and ease of adjustment to the work environment and flexibility to change are essential in this position. Attention to detail and accuracy is essential.

EQUIPMENT TO BE USED

Desktop computer, copier, fax machine, multi-line phone system, Accounting Calculator, and other general office equipment.


TYPICAL PHYSICAL DEMANDS

May be required to occasionally lift up to 40 lbs. May also be required to reach, bend, stretch, kneel, and carry on occasion. Employee is regularly required to sit at a desk and complete work on a computer for extended periods of time.


TYPICAL MENTAL DEMANDS

Must be able to effectively handle stressful and compromising situations while remaining focused and professional. Must be able to deal with difficult people without losing perspective. Must be able to work productively under strict time restraints with variable deadlines.

WORKING CONDITIONS

Work is performed in a non-smoking office setting. Position may require occasional evenings, weekends and holidays. Some local and out of town travel may be required for further training and/or for the needs of the position.


COMMENTS

Native American and Tribal Preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Must adhere to company policies regarding strict confidentiality.
