About The Role

This is an in-person role reporting to our office located in Koreatown/Hancock Park in Los Angeles. You will be expected to be at the office Monday-Friday, 9am-5pm, and occasionally additional hours as needed for deliveries, events, and clients. The Office Coordinator is the face of the Concept Arts physical space and a key member of our operations. The ideal candidate is highly personable, systematic, organized and is committed to helping employees and clients with little supervision. A professional and cool under pressure attitude are crucial to this role. You are a self-starter with excellent communications skills. Responsibilities include:

  • Ensure the smooth operation of the office by overseeing and coordinating local facilities-related matters; managing meeting spaces; receiving and sorting mail and packages; maintaining supplies, inventory, equipment, and overall tidiness of the office
  • Perform various administrative tasks in an effective and efficient manner
  • Receive all incoming telephone calls, general company emails, and mail and distribute to appropriate individuals
  • Assist with outgoing mail, shipping, and courier needs 
  • Corresponding with the building management, including managing keycard requests and maintenance issues in a timely manner  
  • Liaise with and oversee contractors and vendors to enable facilities maintenance and repairs
  • Keep track of all purchases/expenses and report to accounting team in a timely manner
  • Maintain physical space, ensuring a safe, clean, organized, and functional environment and informing cleaners of any areas that need extra attention
  • Provide insight about office and employee needs to Operations Team
  • Be an active participant in creating the office culture by sharing, collecting and administering ideas for a positive workspace that embodies the company culture

Requirements

  • Valid Driver's License
  • Mature with strong work ethic, high level of integrity, sense of dedication, and commitment to strive for excellence
  • Handle confidential information with discretion
  • Organizational skills and good attention to detail
  • Concise verbal and written skills to effectively communicate productively with wide range of people, both internally and externally
  • Ability to work collaboratively with all functions of the organization and provide excellent customer service, interacting effectively with all levels of management and employees
  • Self sufficient, ability to work independently with minimal supervision
  • Comfortable dealing with a variety of people on the telephone, e-mail, and in person, in a friendly, efficient, and professional manner
  • Cheerful and welcoming demeanor with a calm, confident, and positive attitude; easily builds rapport 
  • Strong computer skills
  • Reliable form of transportation
  • Team player
  • Flexible and willing to learn and take on additional responsibilities
  • Interest in handling studio requests and coordination
