We have an exciting opportunity to join our New Psychiatric Day Treatment/PHP (Partial Hospitalization Program) located in Salem, Oregon.

Responsibilities of the Community Physician and Programs Specialist role include supporting duties for assigned the community departments. This entails and is not limited to tasks associated with care of clients from admit discharge, supporting in a physician clerk role scheduling and facilitating medication management appointments, external relations to complete prior authorizations, providing direct care support to programs, attendance and documentation in meetings, upholding agency standards related to professionalism both internally and externally, and completion of other assigned administrative tasks.

Competencies:

Clinical Client Care: Supports referrals, admits, case management, coordination and discharges of clients as needed. Provide effective skills training to as needed based on current need of the program. Demonstrates acceptance of a variety of lifestyles, behaviors, and cultures. Demonstrate understanding of the developing brain, effects of trauma on the brain, able to identify client’s level of functioning and meet the client at their personal level. Ensure client confidentiality is maintained, following agency standards. Work cooperatively as a member of an interdisciplinary treatment team, completing documentation in a timely manner.

Physician Clerk: Attend Health Services staff meetings and proactively meets for one-on-one supervision. Prepare template information for physicians including starting notes, medications, and case preparation. Facilitate client appointments by tracking, insurance verification, communicates with client’s program, scheduling, telehealth, or safe transportation to and from appointments, advocates for client and communicates aftercare appointments to appropriate people.

Facilitate scheduling utilization review with insurance providers, treatment meetings and other necessary meetings to facilitate client care Facilities medication management appointments by completing prior authorizations, assisting in refill requests, communicating with pharmacy, and assisting with management of program house stock. Facilitate necessary tasks such as, client medication/treatment needs process by administering medications, checking in of medication to program, setting up eMAR schedules, passing medication in program, supporting with vital signs, height, weight, point of care labs and EKGs as delegated by nurse or physician, and other health needs. Demonstrate ability to oversee and monitor medication, medication records, errors, safekeeping, etc.

Facilitate scheduling of communication between physician and external providers to ensure continuity of care, manage relationships with tertiary care providers, transitions in care, referrals, and interpretive services. Provide updates and archives of physician calendars as needed for client appointments, client intakes and meetings. Support Electronic Medical Record by taking photos of new clients and performing quality.

Is self-motivated, detail oriented, and organized to complete daily requirements, high standards of care, meet agency expectations and complete training requirements ongoing. Has effective time management and ability to multi-task. Complies with all organizational policies regarding ethical business practices. Communication and uphold a positive representation of the mission, ethics, and goals of the organization, as well as the focus statement of the program. Demonstrates ability to function as a team player as well as independently to complete tasks. Demonstrate knowledge of word-processing and data base software, office functions including but not limited to filing, data entry, phones, scanning, taking minutes in meetings, copy and fax machines.

Interacts professionally with clients and their families with respect and dignity and provides explanations and verbal assurance, as necessary. Demonstrates ability to be flexible, organized and function under stressful situations while maintaining a collaborative working relationship. Demonstrates ability to interact and communicate positively and effectively with clear professional boundaries both internally and externally at all levels.

Programmatic:

Attends program meetings as assigned, providing agenda and structure to the meeting as needed. Complete note taking and provide timelines to meeting duties. Supporting programs with administrative tasks, including scheduling, and supporting staff logistical needs related to assigned programs. Oversee dietary needs of program including meal planning and preparation. Demonstrate involvement in safety issues including being an active member of the agency Safety Committee.

Responds emergent situations as necessary, utilizing emergency procedures or use of NCI techniques appropriately when warranted. Ensure compliance with policies and procedures regarding department operations, fire, safety, and infection control. Oder/ shop for program supplies including food, over the counter medications, office supplies, medica/clinical supplies, and other necessary purchases for the programs.

Starting rate of pay: $25.79/hour + depending on verifiable experience.

Working hours are Monday through Friday – Hours to be determined.

About You:

  • High school diploma or equivalent, college courses and or bachelor’s degree in human services subject matter preferred.
  • Two years’ experience in customer service or human services preferable.
  • Job Knowledge: Must be able to communicate effectively, coordinate multiple duties simultaneously. Planning processes usually impact broader areas than one individual. Planning is made more difficult because of the number of alternatives or obstacles to successful completion of planned work.
  • Computer skills, word processing, data entry and spreadsheet software

Pay Equity: Please be advised that the pay range listed for this position is intended to provide general guidance on the earning potential for the role. However, actual compensation will be determined in accordance with the Oregon Equal Pay Law and will take into account factors such as the candidate's relevant experience and education.
