Job Description

Responsible for managing the process involved with the group coordination within the Group Sales Department. Requires a strong ability to communicate and enjoys building professional and client relationships.

  • Answers incoming phone calls.
  • Takes detailed accurate messages assisting clients and liaising on behalf of the Sales Staff.
  • Forward inquiries in a timely fashion to Sales Department.
  • Answers all online inquiries.
  • Handles overall administrative tasks in assigned areas, including creating and maintaining files.
  • Handles typing and some department general correspondence, as requested by the Sales Department.
  • Enters call reports in Delphi at the conclusion of a sales trip.
  • Sends out sales and marketing packets to clients as requested by the Sales Team.
  • Assists sales as needed with VIP reservations/amenities for tracing, and confirming on the day of arrival.
  • Sends amenities/Welcome cards as directed by Sales Department.
  • Distributes and tracks all VIP amenities forms and follows up with appropriate departments to be sure processed.
  • Creates files for team on booking recap for turnover to Conference Services Dept.
  • Daily Maintenance calls.
  • Daily Solicitation calls.
  • Researching competitive opportunities
  • Distribute the GRC log to team on a weekly basis.
  • Distribute the Daily Events report to team on a weekly basis.
  • Produce past – departure Thank You letters.
  • Book in-house day meetings; with and without food and beverage.
  • Distribute site forms.
  • Conduct site inspections when required.
  • Inputting all sales calls notes, new accounts and follow-up traces.
  • Participates in various office related duties; mailing of holiday gifts, labeling newsletters, RSVP’s for client events, etc.
  • Ordering, storing and maintaining adequate supply of various sales brochures, menus, floor plans and forms.
  • Assists Sales Department emails when they are on sales trips, attending trade-shows or out on vacation. Assigns necessary emails to the appropriate person.
  • Responsible for investigations regarding billing
  • Manages all weekly sales reports for revenue comparison.
  • Manages reservation links.
  • Other projects as assigned.

Pay Rate is $21 per hour.
