Practice Supervisor

In collaboration with the Medical Dyad Champion and under the direction of the Practice Manager, this position is responsible for coordinating day-to-day communications and service delivery including quality and process improvement activities for the assigned Care Team Unit or Practice.


Essential Functions:

  • Under the direction of the Practice Manager, lead the dedicated clinical care team in day-to-day activities to promote and enhance quality, operational efficiency, and the patient experience.
  • Oversee creation of daily schedule, evaluate based on staffing, individual patient care plans and acuity, and team goals.
  • Direct daily Huddles to ensure appropriate and adequate provider and staffing assignments for the day and to identify available appointments.
  • Review quarterly, monthly, weekly clinician schedules with Medical Dyad Champion and assist with monitoring attendance and approving timecards and time off requests.
  • Assist the Practice Manager with interviewing, hiring and supervision of staff assigned to care team unit/Practice.
  • Evaluate performance of assigned staff in meeting quality and productivity standards.
  • Devise and provide learning opportunities for all staff in accordance to their scope of practice with input from the Nurse Manager, Practice Manager and Medical Dyad Champion. Provide professional support and exchange feedback aimed toward enhancing professional growth.
  • Monitor and evaluate the Medical Scribe program.
  • Assist the Practice Manager in the oversight of the Patient Service Representatives (PSR) in the absence of a PSR Supervisor, including assignment of money bags, and performance of audits, cash drawer operations, copay collection batch reconciliation daily.
  • Ensure Medical Assistants' and Psychiatric Medical Assistants' practice meet both safety and risk management standards and legal/regulatory requirements.
  • In collaboration with the Medical Dyad Champion and oversight from the Practice Manager, coordinate the onboarding of new providers in the assigned clinic care team unit.
  • Support Quality Improvement Committee (QIC) leaders on implementing and monitoring compliance with process improvement (PI) workflows within the care team unit.
  • Analyze clinical performance metrics and QI reports to ensure that the clinic operations are performing per agreed upon performance standards.
  • Review staff performance in face to face meetings at least quarterly to ensure that productivity standards are met, expected outcomes are achieved and any necessary adjustments are made to goals and/or plans.
  • Work with the Practice Manager to develop and monitor the care team's budget to ensure that the clinic is appropriately staffed and resourced.
  • Consult with the appropriate Divisional Chair and Practice Manager on any deficits in clinical outcomes and agree upon methods for improving performance

Patient Care Supervision Responsibilities

  • Ensure that all patients are scheduled in a timely fashion with the PCP and or practice partner.
  • Ensure all medical records and other care-related documentation are up to date.
  • Ensure that medical records from external facilities are available as needed to provide comprehensive care.
  • Ensure that medical emergencies are responded to as appropriate.
  • Ensure that patients are transferred to external facilities as needed to address urgent, emergent, or specialized services.
  • Seeks consultation as needed from Practice Manager and/or Division Chair.

Additional Leadership Duties

  • In collaboration with the Medical Dyad Champion, plan and conduct regular Care Team Unit meetings and trainings.
  • Participate in clinic leadership and operations meetings as designated by the Practice Manager.
  • Will be available on short notice or during afterhours to answer calls/texts via personal cell phone.
  • Participate in other duties as assigned by the Practice Manager.

Education/Experience Required:

  • High School Diploma or equivalent GED.
  • 2 years of community college or technical school completion
  • 2 years of experience in medical clinic environment or equivalent of education and experience.
  • Demonstrated effective communication and collaboration skills.
  • Valid CPR/BLS Certification
  • Valid CA Driver License

Preferred

  • Previous leadership experience.
  • Previous experience with quality and process improvement methods.
  • Previous experience with analyzing and interpreting clinical performance reports.
