POSITION: Payroll Administrator FLSA CLASSIFICATION: Exempt

STATUS: Full-time NORMAL WORKING HOURS/DAYS: M-F 9am to 5pm


However, may vary slightly depending on the needs

of the department. Position may require evening and weekend hours for special projects; negligible travel


Position Summary Statement:

Reporting to the Assistant Controller, the Payroll Administrator is primarily responsible for processing a bi-weekly payroll for nearly 600 employees. This role is an individual contributor with no direct reports.



Position Responsibilities:


Payroll

• Maintenance of the timekeeping and related support systems, specifically Paylocity.

• Review timecards for accuracy and proper supervisory approvals.

• Transmission of e-time data to pc payroll for processing.

• Submission of payroll files to Paylocity by prescribed timeline.

• Organize the payroll check distribution process to assure that all paychecks are ready for distribution by 12:00pm on payday.

• Responsible for the maintenance of the employee deductions i.e. garnishments, support, etc.

• Prepare purchase orders for payroll related payments due to third parties.

• Prepare all payroll related journal entries for posting into the general ledger.

• Review and reconcile all payroll-withholding accounts monthly in the general ledger.

• Review and reconcile all quarterly and yearly tax filings prepared by the payroll processing company.

• Timely and accurately complete all tasks outline on the monthly Payroll Closing Checklist.

• Prepare various routine payroll reports required for internal reporting purposes and outside agencies.

• Assist with the organization of payroll documentation and answering payroll related questions during the yearly audit.

• Assist staff with payroll related issues and concerns.



Miscellaneous

• Maintain all files, reports and journals in an orderly manner.

• Other duties as may be assigned in line with the efficient and effective operation of The Arc’s accounting office.

Normal office environment. Must be familiar with basic office equipment (e.g. computer, facsimile, copier, postage machines, etc.)

Requirements:

Qualifications:

• Associate degree in accounting/finance and at least 7 years of payroll experience.

• Hands-on knowledge of Paylocity or similar payroll software required.

• Strong computer skills with an emphasis on Excel required.

• Hands-on knowledge of Sage Intacct preferred.

• Strong attention to detail is a must!

• Ability to hold and main confidentiality.

• Strong written and verbal communication skills. Able to interface at all levels of the organization.

• Must be able to work independently, with minimum supervision.

• Possesses strong time management skills and is able to multitask.

• Candidates with prior payroll implementation/migrating to a new vendor experience will be given stronger consideration.
