Job Summary

The Business Permitting/Licensing Specialist is primarily responsible for performing all aspects of managing contractor, business and engineering licenses, corporate registrations, annual reports, and compliance documents. Serves as the organization's subject matter expert on licensing requirements and statutes for each state, locality, and country in which the Company operates.

Essential Functions

  • Actively support the Company's commitment to safety and its "Core Values."
  • Represent the Company at all times with high moral standards while adhering to the Company's "Code of Business Conduct and Ethics."
  • Manage compliance registration for all initial and renewals of corporate registrations (domestic and international), and company licenses / permits for each entity as required for operations.
  • Collaborate with corporate executives and operations personnel to support company registration and license needs for compliance and ability to continue operations. Provide training to operations on applicable topics.
  • Audit weekly termination list to ensure all companies have sufficient qualifiers and are adequately licensed for current work as well as future opportunities. Work with appropriate internal partners to identify replacement qualifiers within the time allowed by each state or locality, as well as build in redundancy for qualifiers as dictated by the Company's operational needs.
  • Maintain and provide applicable information to human resources and payroll for the Company's license incentive program.
  • Provide oversight and direction to Legal/Risk Administrative Assistant to ensure accurate and timely filings of all license renewals, including data collection, signature requirements, filing and maintenance of the company-wide database on SharePoint. This includes tracking continuing education hours required and/or completed for license renewals of individual qualifiers.
  • Maintain continuous dialogue with regulatory authorities including correspondence and discussion with state and local regulators regarding licensing issues and changes in requirements. Collaborate with internal teams to resolve any issues.
  • Perform detailed research at county, state, and local levels for necessary licenses. Interpret work scope to determine license classifications needed and seek interpretation from internal or outside Counsel, as necessary. Summarize findings and key points to assist management in making informed decisions.
  • Provide domestic and international corporate entity management, including initial entity setup, maintenance of existing entities, and dissolution of inactive entities. Maintain corporate organization charts and distribute within the Company, as necessary.
  • Perform other support duties as required or assigned.

Qualifications

  • Bachelor's degree in business administration or related field preferred, or equivalent combination of education and work experience in lieu of degree.
  • 3+ years of progressive work experience in a related capacity.
  • Excellent research skills with ability to understand, interpret, and apply laws and rules applicable to state and international licensure requirements, preferably for the Construction and Engineering industry.
  • Proficiency in using Microsoft Word, Excel, Outlook, and familiarity with databases.
  • Excellent organizational and time management skills with ability to prioritize work and manage multiple projects and tight deadlines.
  • Ability to work well under pressure and keep a positive attitude.
  • Intermediate to advanced knowledge of filing and document management.
  • Strong interpersonal relationship skills with ability to maintain confidentiality and communicate effectively with employees, outside contractors and managers.
  • Professional demeanor, attitude, and appearance.

Physical/Special Requirements

This position may require occasional travel and overtime.
