PURPOSE:

Responsible for managing all railcars, both Calumet owned/leased and customer cars for Legacy refining. Daily verification of all known cars current positioning, and destinations. Tracking all information for destinations including travel times, time on site, and return ETA's. Works closely with marketing to divert cars or ensure contracts are in place and available for car arrivals in order to prevent unnecessary demurrage charges. Manages new hire training in accordance with rail best practices for Calumet. Works to backfill coordinators and manage tools used by coordinators daily to insure accurate and efficient rail movement within the great falls area and in the Refinery.

KEY OBJECTIVES AND RESPONSIBILITIES:

  • Manage feedstocks for the Legacy side of the refinery
  • Verify all outbound loaded cars are being charged to the correct payor of freight is being charged and update any incorrect POF to the correct entity
  • Coordinates with Management, Supply Departments, and refineries to develop forecasts of future rail transportation requirements in order to maintain a properly sized railcar fleet
  • Maintain "Master" consignee records with railcar owner and "last contained" products as well as relevant car details or updates
  • Mange customer detention for holding Calumet owned railcars for extended periods of time
  • Manage after hour BOL creation for trucks.
  • Help integrate and manage feedstock offload verification for new and existing products
  • Manage updates and integration to coordinator tools
  • Manage Daily, weekly, and monthly audit information as it pertains to Yield accounting and insure accuracy
  • Backfill Legacy pipeline coordinator if need be.
  • Manage bad ordered railcars and facilitate repairs and OTMA's as needed.
  • Manage and maintain all metrics for rail coordination, BNSF performance, and operational performance as it pertains to rail.
  • Research all miscellaneous invoices generated by BNSF. Verify all those charges are correct and use the information learned from the invoices to try and prevent future charges being generated
  • Provide Additional coverage for Rail Coordinators position if need be
  • Manage local outbound dwell and bunching by the railroad to insure products are traveling efficiently.
  • Responsible for other duties as assigned

REQUIRED EDUCATION/EXPERIENCES:

  • High School Diploma or equivalent required.
  • 3+ years of transportation/rail experience

PREFERRED EDUCATION/EXPERIENCES:

  • Bachelor's Degree preferred
  • 3+ years customer service experience preferred

COMPETENCIES:

  • Knowledge of transportation/rail industry and terminology usually gained through practical experience and on the job training
  • Experience in customer service policies and practices
  • Ability to communicate in a courteous and professional manner when speaking with drivers, customers, and other support staff
  • Knowledge of AAR and DOT regulations as it applies to the rail industry
  • Strong communication, decision making and negotiating skills
  • Strong Excel skills
