Dispatch/Office Manager

As a Transportation-Limo Service Dispatcher/Office Manager, you will be responsible for efficiently and effectively managing the scheduling of our fleet of vehicles and drivers to ensure that our clientele receive punctual and high-quality customer service. You will be the central point of contact for our clients and drivers, handling all requests and inquiries in a professional and timely manner.

Your duties will include:

• Receive incoming calls from clients requesting transportation services and accurately record all necessary information such as pick-up/drop-off locations, date, time and special requests.
• Dispatch drivers accordingly based on availability, location, and suitability for each assignment.
• Monitor and track the progress of each assignment to ensure that drivers arrive at pick-up locations on time.
• Communicate with drivers throughout their assignments to provide updates on any changes or additional requests from clients.
• Handle any issues or emergencies that may arise during assignments, coordinating with relevant parties to ensure a swift resolution.
• Establish and maintain effective communication channels with clients, providing excellent customer service by addressing email inquiries or concerns promptly and professionally.
• Providing accurate pricing quotes to inquiring parties and invoicing or billing those as required.

Qualifications:

• High school diploma or equivalent; Associates degree or higher preferred; additional education or training in customer service or transportation management is desirable.
• Previous experience in office management and similar roles as a dispatcher in the transportation industry is a plus and may result in higher starting pay.
• Strong organizational skills with excellent attention to detail and ability to multitask effectively in a fast-paced environment.
• Exceptional communication skills both oral and written, with the ability to interact professionally with clients and drivers.
• Ability to remain calm under pressure and make quick decisions while prioritizing client satisfaction and driver safety.
• Knowledge of local geography and traffic patterns is an advantage.
• Preference to work independently as well as collaborate with other team members.
