SUMMARY:

Background on Birth to Five Illinois

Illinois has a goal of becoming the best state in the nation for families raising young children. In December 2019, the Governor appointed and charged the Commission on Equitable Early Childhood Education and Care Funding with making recommendations for how to provide "equitable access to high-quality Early Childhood Education and Care (ECEC) services for all children birth through age five". The recommendations prioritized the establishment of a statewide infrastructure (which has been named Birth to Five Illinois) comprised of Councils in each of the State's 39 regions to address the currently existing inequities in our state's financing of early childhood services.

About INCCRRA

The Illinois Network of Child Care Resource & Referral Agencies (INCCRRA) is a statewide organization which - in partnership with its 16 local Child Care Resource and Referral (CCR&R) Agencies - is a recognized leader for making high-quality, affordable early care available for children and families in Illinois. INCCRRA serves as the backbone for the Birth to Five Illinois Department.

The Position

The Regional Administrative Support will provide administrative assistance to the Regional Office (e.g., drafting memos, preparing presentations, answering email inquiries and voicemails), manage projects of all sizes, assist with the communications and meeting logistics for the Region's Action and Family Councils, work with internal staff to compile regional data, input data and maintain databases, and fulfill other duties as assigned.

Responsibilities

  • Manage projects of all sizes, including miscellaneous research assignments.
  • Assist with communications and meeting logistics for the Region's Action and Family Council.
  • Provide administrative assistance, such as drafting memos and preparing presentations.
  • Answer email and voicemail inquiries for the Regional Office.
  • Submit receipts from the Regional Office for expense reports.
  • Follow the communications guidelines provided by the Central Office in presentations, email communications, and print materials.
  • Work with internal staff to compile regional data.
  • Develop and maintain process to track department outcomes and benchmarks.
  • Input data and maintain database(s).
  • Perform other job-related duties as assigned.
  • Travel within the State as needed, up to 30%.
  • The employee will work a telework (hybrid) schedule and will work 2 days, at minimum, in the designated physical office.

Required/Preferred Qualifications:

  • Associate degree in Business Administration or at least three years of relevant work experience.
  • Must be familiar with Excel, Airtable, or other database management systems.
  • Must have experience compiling and editing grant/executive/organizational reports.
  • Must be able to manage multiple assignments and projects at the same time.
  • Must have a proven track record of meeting aggressive deadlines.
  • Must have strong communication skills, both verbal and written.
  • Must be proficient in Microsoft Suite and Adobe with the ability to learn other database software.
  • Must live or have experience in the boundaries of the Region.
  • Bilingual (ability to read, write, and speak) in Spanish is required or preferred depending on the geography and demographics in the Region.
