COMPANY PROFILE

The Plant Company (TPC) is a newly established business currently operating in its Phase 1 production facility. Phase 1 encompasses a five acre greenhouse facility along with a 1.5 acre production barn. This is a state of the art, controlled environment greenhouse for the sustainable production of tropical indoor foliage plants of consistent and exceptional quality.

JOB SUMMARY

The Accounts Payable/Receivable Coordinator oversees financial transactions, including invoicing, payments, vendor relations, collections, and tax compliance. Responsibilities include creating invoices, processing payments, managing vendors, handling tax filings, and maintaining financial records. The ideal candidate is detail oriented, organized, and knowledgeable in accounting practices.

ESSENTIAL JOB FUNCTIONS

  • Invoicing and Accounts Receivable
  • Process shipping, sales orders, and other documents necessary to invoice sales. Create and send invoices per company
  • Set up new customers and maintain supporting documentation.
  • Assists with sales and other such reporting.
  • Process customer payments, credits, and any other adjustments impacting customer's account
  • Monitor aged accounts receivable reports and implement collections procedures per company
  • Reconcile subsidiary reports to the general ledger on a regular
  • File supporting documentation per company practices.
  • Collections - send monthly statement, reach out to clients regarding collections per the company practice. Escalate to sales per standard practices.
  • Etc.
  • Accounts Payable and Vendor Relations
  • Compile all invoices or other items requiring
  • Manage and file all W-9 and other supporting
  • Assist with new vendor set up.
  • Review and post POs and resolve any
  • May include expense reports, interest payments and other such items.
  • Enter payables into the accounting
  • Send invoices out for approval per company
  • Schedule payments for approval per company policies and timelines
  • Implement
  • File supporting documentation per company
  • Routine tax and regulatory compliance
  • Prepare and submit for approval routine tax and regulatory filings such as property tax, real estate tax, 1099's, business licenses, sales tax, etc.

  • Filing / Record Keeping
  • Maintain organized files and supporting documentation.
  • Assist with General Ledger maintenance
  • Assist the staff account with routine journal entries and supporting documentation.
  • Perform routine reconciliations and reports.
    • General office, organizational, and other tasks as assigned.

REQUIRED SKILLS/ABILITIES:

  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite or related software as well as other accounting software programs.
  • Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
  • Ability to work independently and in a fast-paced environment.
  • Ability to anticipate work needs and interact professionally with customers.
  • Excellent organizational skills and attention to detail.

EDUCATION AND EXPERIENCE:

  • At least two (2) years of related experience required.
  • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
    • Relevant certifications.

Must be able to bend, twist, turn, climb, pull, lift, and carry up to 15 pounds frequently throughout the workday.
