Description

The Vice President of Building Operations, Security, and Fleet Management (VP) will be responsible for overseeing and optimizing various aspects of the Family and Children's Services (FCS) infrastructure and resources. The VP will lead a team in managing facilities, fleet, security, real estate, materials management, and the inter-office mail system, ensuring smooth operations and adherence to regulatory standards. This role requires strong leadership, strategic planning, and operational expertise to drive efficiency and effectiveness across multiple areas.

POSITION SPECIFIC DUTIES & RESPONSIBILITIES:

Facilities Management:

  • Oversee all building operations to include the design elements, appearance, furniture, maintenance and upkeep of all company facilities, including buildings, offices, and grounds.
  • Develop and implement preventive maintenance programs to ensure optimal functioning of equipment and systems.
  • Coordinate with external vendors for facility repairs, renovations, and upgrades as needed.

Construction Management

  • Oversee construction projects from conception to completion, including bidding, budgeting, scheduling, and quality control.
  • Coordinate with architects, engineers, contractors, and regulatory agencies to ensure project success.
  • Monitor construction progress and address any issues or delays as they arise.

Fleet Management:

  • Oversee the company's fleet of vehicles, including procurement, maintenance, disposal and scheduling.
  • Implement fleet safety protocols and ensure compliance with regulations.
  • Optimize fleet utilization and efficiency to minimize costs and environmental impact.

Security:

  • Develop and enforce security policies and procedures to safeguard company assets, employees, and visitors.
  • Oversee security measures such as access control, surveillance systems, Security Services, and emergency response plans.
  • Stay updated on security threats and industry best practices to mitigate risks effectively.

Real Estate Management:

  • Manage company-owned and leased properties, including lease negotiations, lease administration, and space planning.
  • Assess real estate needs and make recommendations for property acquisitions, disposals, or expansions.
  • Ensure compliance with zoning laws, building codes, and environmental regulations.

Materials Management:

  • Oversee inventory control, procurement, storage, and distribution of materials and supplies.
  • Implement inventory management systems to optimize stock levels and minimize shortages or excesses.
  • Collaborate with leadership to forecast demand and plan procurement strategies accordingly.

Mail System Management:

  • Oversee the operation of the company's mailrooms, including inter-office mail, incoming, and outgoing mail processing.
  • Ensure timely and accurate delivery of mail and packages to internal departments and external recipients.
  • Implement technology solutions to streamline mail handling processes and improve efficiency.

QUALIFICATIONS:

Education:

  • Bachelor's Degree in related field is required
  • Master's degree preferred

EXPERIENCE:

  • 7-10 years' experience in facilities management, operations management, or a related role, with demonstrated leadership capabilities.

CERTIFICATIONS/LICENSES:

  • Must possess a valid Driver License and satisfactory driving record and use personal automobile to travel to locations other than primary office. Proof of automobile insurance required.

SAFETY SENSITIVE JOB CLASSIFICATION:

This job is classified as a "safety-sensitive" position as defined by the Oklahoma Medical Marijuana and Patient Protection Act. Due to the "safety-sensitive" classification, an employee in this position would be subject to drug and alcohol testing, including random testing. Marijuana is one of the substances included in the drug panel screening. Possession of a medical marijuana license will not excuse you from the testing process or the consequences of testing positive for marijuana per the Family & Children's Services Drug Free Workplace Policy, including possible revocation of a job offer or dismissal from employment.
