This position is Hybrid with a minimum of 3 days in office at our French Camp location.


What You Will Be Doing:

Under general supervision, provides specialized administrative support to an executive, senior manager or department.

  • Prepares a variety of complex correspondence, documents and reports.
    Coordinates and staffs committees, including high level: prepares and distributes supporting material; takes and distributes minutes; reports status of action items to supervisor.
  • Organizes and coordinates meetings and events: prepares and distributes materials; coordinates logistics; makes travel arrangements as necessary.
  • Interacts with internal and external customers to provide information and coordinate/resolve routine issues.
  • Tracks project timelines, reports status of action items to supervisor.
  • Formats, assembles and distributes sensitive materials to appropriate internal and external recipients.
  • Receives, screens and routes incoming calls.
  • Opens and distributes mail.
  • Sets up and maintains multiple file systems.
  • Coordinates department and/or individual calendars.
  • Assists in compiling, entering and maintaining data and information.
  • Performs research and analysis in a specialized area.

Preferred:

  • Bilingual in Spanish may be preferred.
  • Basic knowledge of publishing software may be preferred.
  • Basic knowledge of contact software may be preferred.

What You Have:

Education & Experience

Required

  • HS diploma
  • At least four years providing progressively responsible administrative support.

Preferred

  • Experience providing mid-level administrative support.
  • Associate’s Degree in business or related field; OR certificate in administrative assisting or related.
  • Experience in health care.
  • Experience in managed care.

Licensure, Certification, Registration

Required

  • Valid California driver license and reliable transportation or, the ability to obtain transportation on demand in the counties served by HPSJ if prohibited from getting a driver license due to a medically documented disability.
