ROLE

The Grants Manager is a vital role on our small entrepreneurial and dynamic team.  This role will proactively lead our team through the continuum of grant management activities from planned research, identification, development, application preparation, policy drafting/implementation, budget tracking, grant compliance and reporting, all the way through grant closeout.  This position requires the ability to work effectively in a cross-functional team to advance the organization’s grant portfolio requirements in a flexible, responsive, and collaborative manner. 

The Grants Manager is responsible for researching, preparing/coordinating, submitting, and managing grant proposals/reports that support Authority goals and meet funder guidelines and criteria.  This individual serves as the primary grant application point person, manages funder relationships, engages in compliance reporting, and supports special project initiatives.  The position requires strong writing, data analysis, program budgeting, project management skills, with an emphasis on outcome measurement. 

This position is a full-time, salaried position with attractive benefits and is located in Richmond, Virginia.  The Grants Manager reports to the Vice President of Finance.

  • Lead the grant development and application process for the organization; project management
  • Manage the organization’s current grant portfolio which consists of state, federal, and corporate grants including a federal infrastructure grant
  • Collaboratively with the team, create and assemble all necessary supporting materials and documents including budget reports, outcome measurements, success stories, narratives, forms, etc. for successful and compliant on-time submission to funders
  • With the team, create and distribute monthly grant health dashboards for executive and board review; updating grant health in real-time on Monday.com
  • Kick-off all new grants across the grant management team to ensure alignment to internal processes, compliance, and human resources capacity
Development & Collaboration
  • Project manage grant proposal development and submission – preparing and organizing materials for proposals, and submitting and monitoring grant applications
  • Research new funding and business development opportunities on a local, state, and federal level
  • Analyze grant funding trends to identify growing programs, opportunities for increased funding, and areas in need of greater development.
  • Conduct internal and external research to identify funding opportunities with foundations, government agencies, corporate, and community-based funding organizations.
  • Cultivate, manage, and maintain relationships with organizational funders and stakeholders through targeted and strategic outreach
  • Monitor application and reporting timelines and communicate with stakeholders to ensure adherence to funder deadlines and requirements
  • Write grant proposals, letters of support/interest, concept papers, and related materials for proposal submissions
  • Prepare and submit applications gaining stakeholder buy-in and managing grant application portals
Legal and Compliance
  • Working closely with VP of Finance, manage grant compliance and reporting, including outcome measurement and grant budgets – taking responsibility for meeting high standards of effectiveness, timeliness, and completeness
  • Project manage the Negotiated Indirect Cost Rate Agreement application process for the organization
  • Working with PMO, create reporting calendar for grants within Monday.com to ensure 100% compliance; deliverables on-time and on-budget
  • Maintain and manage complete records and files in accordance with Activation Capital’s record-keeping policies, related to past, present, and prospective grant-based donor engagement
  • Track progress toward organizational and programmatic outcomes and goals
Systems Management & Reporting
  • Own grant portal administration for all funders; accessing all systems and coordinating with staff on access, authorizations, and communicating system updates
  • Maintain library of grant support documents per grant; also maintaining a database of resumes, bios, IRS forms, and additional documentation
  • Run quarterly report process in compliance with our federal grants, such as the Build Back Better Regional Challenge grant
Grant Budget Management
  • Prepare strategic program and project budgets in collaboration with internal staff and vendors; ensuring that each is in a format to meet internal accounting needs and funder preference
  • Create and maintain expense trackers for each grant
  • Prepare reimbursements and drawdowns as required
  • Work closely with finance and accounting to ensure accurate reporting and compliance
  • Ad hoc financial health reporting
Also, includes other duties not otherwise specified.QUALIFICATIONS & EXPERIENCE
  • Requires bachelor’s degree or equivalent experience in a field related to grant management
  • Minimum of five years of relevant experience in grant administration and processes and/or grant writing required
  • Knowledge of federal, state, and local government laws and regulations regarding grant agreements and administration strongly preferred
  • Demonstrated experience with government contract accounting, Single Audits, 2 CFR Part 200 strongly preferred
  • Portfolio of demonstrated analytical and persuasive writing samples required
  • Experience with or knowledge of the Negotiated Indirect Cost Rate Agreement application process strongly preferred
  • Experience with National Science Foundation grants strongly preferred
  • Experience with cooperative grants strongly preferred
  • Experience with Monday.com is a positive but not required
  • Familiarity with Google suite of products a positive but not required
  • Ability to learn new technology quickly required
