Cypress Healthcare Partners is a physician practice management company that provides management services, including HR support, to a variety of different healthcare companies in Monterey County. This position will support Salinas Valley Health Clinics, with 24 locations, 550 employees and 200 providers. The position is responsible for all human resource issues including staffing, staff relations, orientation and development, employment law compliance, compensation and benefits. Cypress utilizes ADP's Workforce Now (WFN) HR, Benefits and Time & Attendance system.

KEY RESPONSIBILITIES & DUTIES:

  • Collaborates with corporate HR team to provide benefit information to all new employees; answers ongoing benefit questions
  • Assists with the implementation of company safety and health programs. Tracks and posts OSHA-required data and files reports.
  • Addresses employee relations issues, such as harassment allegations, work complaints, interpersonal issues between co-workers or other employee concerns
  • Analyzes relevant market factors for compensation, recruiting and retention purposes. Advises on compensation issues. Proactively provides compensation guidelines to managers for common positions, such as MA, medical receptionist, and Advance Practice Practitioners.
  • Ensures and oversees the preparation and maintenance of employment records, keeping them up-to-date by processing employee status changes in timely fashion
  • Maintains updated Employee Handbook for Salinas Valley Health Clinics. Effectively and efficiently distributes employee handbooks to new and current employees
  • Handles ACA compliance and filings related to group health plans. Assists with “building” benefits into ADP WFN system to ensure ACA timely and accurate reporting, including 1095 forms
  • Conducts exit interviews; provides summaries/feedback to supervising managers
  • Explains/provides termination information, answers questions. Participates in employee terminations when necessary.
  • Reviews non-routine terminations and written disciplinary actions before they are carried out to ensure they meet the policies and procedures, as well as applicable laws.
  • Appropriately analyzes issues involving employee discipline, including termination. Handles most routine disciplinary matters with little or no supervision. Help ensure compliance with applicable employment-related laws and regulation. Seeks in-house legal opinions when confronted with unusual, complex situations; termination of employment. Works with outside labor counsel when nature of employment law matters require and as approved by a Cypress executive
  • Streamlines or updates new hire paperwork and forms, as needed.
  • Manages the performance management system in ADP and assists managers with completion of effective performance reviews.
  • Assists with the development and implementation establishment of an in-house employee training system (with or without third party vendor support) that addresses the company's training needs, including training needs assessment, new employee orientation or onboarding, compliance and ethics, mandatory training required by regulations (e.g., OSHA), management development
  • Collaborates with corporate HR team to track leaves of absence (e.g., FMLA). Ensures Company’s compliance with laws, rules and regulations regarding protected leaves
  • Successfully complies with federal, state and local employment laws. Well informed on common HR issues, particularly leaves of absence, meal and rest breaks, and exempt vs. non-exempt employment status
  • Proficiently uses ADP WFN, particularly the HR, Benefits and Time & Attendance Modules
  • Attends meetings at the requests of managers, prepares reports and analyzes and provides recommendations in a timely and accurate manner
  • Constantly looking for ways to improve processes, including using automation and technology to make routine processes more efficient, less costly, more accurate and less dependent on human resources. Revises old forms and creates new forms as necessary and appropriate
  • Well organized project management, including list of all projects and their due date, description and status. Appropriately shares project list with senior management
  • Interacts with managers and supervisors on a wide range of staff performance issues, evaluations
  • Mediates conflicts between employees and management to resolve misunderstandings, facilitates communication and promotes effective working relationships

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Must be able to communicate effectively in English, verbally and written.
  • Must be able to write reports, business correspondence, and procedure manuals using good, proper grammar.
  • · Able to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

CREDENTIALS / EDUCATION / EXPERIENCE:

  • Bachelor’s degree with a concentration in Human Resources, Business Management, or other business-related discipline strongly preferred;
  • At least five (5) years’ experience as a Human Resources Generalist or Specialist
  • HR experience must involve companies with >100 employees and multiple locations/worksites
  • SHRM or HRCI certification preferred
  • Knowledge of relevant federal, state and local regulations relating to Human Resources, i.e., Title VII of the Civil Rights Act of 1964, Affirmative Action, ADA, FMLA, etc.
