Accounts Receivable Clerk

Job Description:

We are seeking an experienced Accounts Receivable Clerk to join our team. The ideal candidate will have a minimum of 5 years of hands-on experience with QuickBooks and a strong background in creating invoices. As an integral part of our finance department, the Accounts Receivable Clerk will be responsible for managing the invoicing process efficiently and accurately.

Responsibilities:

  1. Invoice Creation: Utilize QuickBooks to generate accurate and timely invoices for goods and services rendered to clients.
  2. Client Communication: Communicate effectively with clients regarding invoicing inquiries, ensuring prompt resolution of any discrepancies or issues.
  3. Payment Processing: Record and track incoming payments, apply payments to appropriate accounts, and reconcile discrepancies as necessary.
  4. Accounts Reconciliation: Reconcile accounts receivable ledger to ensure accuracy and completeness of financial data.
  5. Collections Management: Assist in collections efforts by following up with clients on outstanding invoices and maintaining organized records of collection activities.
  6. Reporting: Generate regular reports on accounts receivable status, aging analysis, and cash flow projections for management review.
  7. Documentation: Maintain organized and up-to-date documentation of invoicing and payment records for audit and reporting purposes.
  8. Process Improvement: Identify opportunities for process improvements in the accounts receivable function and implement best practices to enhance efficiency and accuracy.
  9. Collaboration: Collaborate with other departments such as sales, customer service, and finance to ensure seamless operations and customer satisfaction.
  10. Adherence to Policies: Adhere to company policies, procedures, and accounting standards to maintain compliance and integrity in financial operations.

Requirements:

  1. Education: A high school diploma or equivalent qualification is required. A degree in accounting, finance, or related field is preferred but not mandatory.
  2. Experience: Minimum of 5 years of experience working in accounts receivable, with a proven track record of creating invoices and managing receivables. Experience with QuickBooks is essential.
  3. Proficiency: Advanced proficiency in QuickBooks is mandatory. Proficiency in Microsoft Excel and other accounting software is a plus.
  4. Attention to Detail: Strong attention to detail and accuracy in data entry and record-keeping is essential.
  5. Communication Skills: Excellent verbal and written communication skills, with the ability to effectively communicate with clients and colleagues.
  6. Organizational Skills: Strong organizational skills with the ability to prioritize tasks, manage time efficiently, and meet deadlines in a fast-paced environment.
  7. Analytical Skills: Basic analytical and problem-solving skills to reconcile accounts and resolve discrepancies.
  8. Team Player: Ability to work independently as well as collaboratively within a team environment.
  9. Integrity: High level of integrity and ethical standards, with a commitment to maintaining confidentiality of financial information.
  10. Adaptability: Willingness to adapt to changes in procedures, software, and workload as necessary.

Preferred Qualifications:

  • Certification in QuickBooks or relevant accounting software.
  • Experience in a similar role within the industry.
