We are seeking an experienced Project Coordinator to join our CCO Project Team on-site in Chester, Virginia, to support the planning, execution, and completion of projects with precision and excellence. As a key member of our team, you will play a vital role in ensuring seamless project coordination, fostering effective communication among team members, and upholding our commitment to delivering exceptional service to our government clients.

Job Summary: The Project Coordinator plays a critical role in supporting the successful planning, execution, and completion of projects within an organization. This position involves coordinating various project activities, ensuring effective communication among team members, monitoring project timelines, and assisting with project documentation. The Project Coordinator works closely with project managers, team members, and stakeholders to facilitate project progress and ensure deliverables are met.

Duties/Responsibilities
Project Planning and Coordination:
  • Assist in developing project plans, timelines, and budgets in collaboration with the project manager and team members.
  • Coordinate project meetings, including scheduling, agenda preparation, and minute-taking.
  • Track project deliverables, milestones, and dependencies to ensure timely completion. Facilitate effective communication among project team members, stakeholders, and external vendors or partners.
  • Assist in resource allocation and tracking to ensure project tasks are appropriately staffed.
Documentation and Reporting:
  • Maintain accurate project documentation, including project plans, progress reports, and meeting minutes. Generate and distribute regular project status updates, highlighting key achievements, issues, and risks to stakeholders.
  • Assist in preparing presentations, charts, and other materials for project meetings and reviews.
  • Contribute to the development of project-related documents, such as proposals, contracts, and statements of work.
Risk Management and Issue Resolution:
  • Identifying and communicating project risks, issues, and dependencies to project managers and stakeholders.
  • Assisting in devising mitigation strategies and contingency plans to address potential project challenges.
  • Monitoring and tracking project risks and issues, promptly escalating critical concerns as necessary.
  • Collaborating with team members to resolve project-related conflicts and promote effective problem-solving.
Quality Assurance:
  • Support project managers in ensuring project deliverables meet established quality standards.
  • Assist in conducting quality checks and reviews of project documentation, reports, and other project-related materials.
  • Collaborate with team members to implement quality improvement initiatives and best practices.
Stakeholder Management:
  • Maintain positive and productive relationships with project stakeholders, including clients, vendors, and internal teams.
  • Communicate project updates, timelines, and deliverables to stakeholders in a clear and timely manner.
  • Coordinate stakeholder meetings, workshops, and presentations as required.

Education and Experience:
  • Previous experience in a project coordination or project management support role for a federal or state contract and/or call center planning experience is preferred.
  • Strong organizational and multitasking abilities, with excellent attention to detail.
  • Effective communication skills, both verbal and written, with the ability to convey complex information clearly and concisely.
  • Proficient in project management software and tools, such as Microsoft Project and/or similar applications.
  • Knowledge of project management methodologies and frameworks, such as Agile or Waterfall, is desirable.
  • Analytical mindset with the ability to identify and address project risks and issues.
  • Strong interpersonal skills, with the ability to work collaboratively in a team environment.
  • Proficiency in using MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Demonstrated ability to work effectively under pressure and meet project deadlines.
Physical Requirements
  • Prolonged sitting throughout the workday with occasional mobility required.
  • Corrected vision within the normal range.
  • Hearing within normal range. A device to enhance hearing may be provided if needed.
  • Must possess sufficient manual dexterity to skillfully operate an online computer terminal and other standard office equipment, including a financial calculator, personal computer, and telephone.
  • Occasional movements throughout the department daily to interact with staff, accomplish tasks, etc.
