Scheduling / Workflow Coordinator An ADP client is currently recruiting for an experienced individual to be their next Workflow Coordinator and work out of their downtown Manhattan, NY 10006 location. About the Role: The Workflow Coordinator serves a critical role on our client service team. Broadly, the position will involve working with Partners and Senior Managers to anticipate scheduling needs and assure all engagements are properly staffed. What You Will Do:Core duties and responsibilities include the following. Engage with managers and staff to obtain an understanding of ongoing staffing needs, staff skills and to assure all engagements are properly staffed. Act as primary point of contact for managers’ and senior staff scheduling requests, as well as for unassigned staff. Maintain and communicate on a regular basis updated short-term and long-term staffing schedules to partners, managers and staff. Anticipate and resolve scheduling conflicts as they arise, including working with affected managers and staff to optimize recommendations and solutions. Be aware of deadlines and priorities to ensure engagements are completed in a timely manner. Proactively monitor time reports, staff utilization, availability, and productivity. Analyze staff availability and productivity and communicate with Partners regarding ongoing and future staffing needs. Performs other related duties as assigned by manager or partner. Our Perfect Candidate Education and Experience: Bachelor’s degree in Business related field. Prior work experience in a similar role (2 to 3 years) in a CPA firm or law firm is required. Experience using workflow and other technological solutions to achieve goals. Knowledge of CCH Access-XCM is a MUST. Excellent Microsoft Excel skills. Required Abilities and Skills: Strong interpersonal, verbal, and written communication skills. Must be detail oriented and possess excellent analytical and organizational skills. Ability to manage multiple priorities. Demonstrated ability to anticipate and solve scheduling related issues as they arise. Availability to work additional hours as needed during tax season.
