The Medical Records Lead supports the medical staff supervisor and the medical records team in ensuring that patient registration, payment collection and reconciliation, preparation and maintenance of client medical records is performed timely and accurately in adherence with HIPAA guidelines.

We Require

  • Two years of medical records/registration experience

  • High school diploma or GED

  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

We Also Value

  • Associate's Degree

  • Three or more years of experience in medical records/registration or in a health-related field

  • Progressively responsible office, administrative, or clerical experience

  • Lead or supervisory experience

  • Certification as a Public Health or Community Health Worker from an accredited college or currently enrolled in a Public Health or Community Health Worker program and eligible to receive certification within six months of hire

  • Bilingual skills (English/Spanish)

Job Contributions

  • Assists in the daily direction and guidance to the Medical Records Clerks on behalf of or in the absence of the Medical Records Supervisor

  • Provides complex customer/stakeholder issue resolution and performs special projects

  • Coordinates mandated services and activities within the Medical Records unit and appropriate management team members to ensure compliance, quality controls, and accuracy in collecting, reporting, and recording medical records information

  • Responds, monitors and executes requests by researching, locating, retrieving and delivering records or information

  • Oversees the acceptance of payment for services rendered and reconciliation of cash drawers, prepares bank deposits and executes the daily deposit armored service pick up, and opens or closes specified site location(s)

  • Works closely with colleagues and Finance & Administration as necessary to ensure cash handling, reconciliation, reporting and deposit preparation compliance

  • Provides operational subject matter expertise, communicates, coordinates, and executes with the supervisor and other key management team members any improvements or agreed-upon resolution(s) to any identified barriers or areas of concern to ensure that the specified location(s) and program remain audit ready.

  • Performs quality assurance audits on data entry, records release requests, patient wait times, payment collection and deposits

  • Troubleshoots and corrects identified errors and conflicts regarding patient names, duplicate charts, patient records and patient payments

  • Monitors and maintains physical organization of public, staff, and limited access areas to ensure safety and that all areas do not pose a risk to the public, staff, or County

  • Supports the communication and implementation of processes to ensure efficient, accurate and timely patient registration

  • Supports staff training to follow HIPAA

Working Conditions

  • Must possess or have the ability to obtain by the time of hire, a valid Arizona driver's license.

  • Within one month of hire, all employees are required to provide evidence of immunity or receive immunizations for vaccine-preventable illnesses for any position within the Maricopa County Department of Public Health. Required immunizations may include MMR (measles, mumps, rubella), Tdap (whooping cough and diphtheria), Varicella (chickenpox), and annual Influenza. Some positions require a Hepatitis B vaccine and/or a Tuberculosis test

  • Work is performed indoors in a high volume, front office clinical setting

  • Position requires the ability to interact with a diverse population and work in a team environment

  • Required to work at various locations, and be on-call after hours and on weekends to respond to customer and partner requests for the registration and issuance of disposition-transit permits or in response to a public health emergency

  • Travel will be required to attend conferences, training, and possible varying work locations as assigned

  • Must be able to participate in emergency response training as scheduled
