Responsibilities:
- Performs assigned document control functions on a routine basis or as needed. Functions include: preparation of documents for imaging; ensuring documents are sorted; notifies scanner operator of special instructions; boxing, storage, and workflow movement for an area; scans/images data into an indexing system; data entry into applicable computer-based system(s).
- 85% Performs in one of the following assigned areas of Document Control on a routine basis and serves as a backup to the other areas as needed.
- 1) Preparation: Handles receipt/manual preparation of documents in a timely manner. Prepares documents for imaging. Ensures documents are sorted into individualized standard pages. Inserts separator sheets between documents. Ensures pages are ready for imaging. Stamps/writes Julian date on folder and other instructions to notify scanner operator of special handling. Prepares cover sheets and places documents in folder
- 2) Storage: Boxes all daily mail and/or documents for storage. Logs boxed documents on transmittal sheets for shipping to offsite storage facility. Assists coworkers with transporting of large documents to designated areas.
- 3) Imaging: Scans documents within timeliness standards. Ensures all scan logs and paperwork are correct and complete.
- 4) Data Entry: Enters data into applicable computer-based system(s) in order to establish records. Ensures accuracy of data/records entered.
- 10% Responsible for retrieval of stored documents upon request. Submits reports regarding items scanned/tracked. Assists with other project as needed.
- 5% Provides routine maintenance on all equipment. Maintains a clean and well organized work area.
