Description

JOB PURPOSE:

Support the Shelter Manager and staff through various administrative functions; filing and posting required paperwork, reporting performance measurement numbers, assisting with accounting and timesheet submissions, and maintaining organization records.

Qualifications
ESSENTIAL JOB RESPONSIBILITIES:

  • Receive, enter, and manage timesheets and submissions.
  • Perform errands as scheduled and/or necessary:
  • Pickup and distribute mail (and documents) to and from shelter.
  • Perform administrative duties in a timely and accurate manner:
  • Answer phones and take/forward messages.
  • Type, print and proofread documents.
  • Photocopy, scan and fax materials.
  • Distribute mail and general client correspondence.
  • Schedule meetings for Shelter Manager and Emergency Services management staff.
  • Maintain legal records and files for organization.
  • Perform periodic administrative duties in a timely and accurate manner.
  • Prepare agenda, meeting materials, and meeting information - monthly.
  • Maintain management systems, policies, procedures, contract repository, and forms.
  • Other duties as assigned

ESSENTIAL QUALIFICATIONS:

EDUCATION: High School Diploma or GED required

EXPERIENCE: Must have a minimum of 1 (one) year experience in a shelter setting and administration experience, non-profit experience preferred; customer service focused environment. Proficient knowledge of MS Office, Word, Excel etc.; Strong Math skills, 10 key by touch and proof reading. Must include experience in working with immigration populations, child welfare and vulnerable populations.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer's sole discretion.

LICENSES: Driver's License with clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates.

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.
