The Accounting Assistant will work with the Chief Financial Officer (CFO) to perform daily accounting tasks that will support the Accounting Department as directed. The Accounting Assistant is responsible for providing support to the CFO, bookkeeping and accounting tasks. This person will be responsible for recording financial transactions and maintaining accurate records in the Abila MIP Accounting system.

Requirements:
  • Coding and data entry to the financial transactions using MIP and Excel to prepare spreadsheets, as needed;
  • Reconciliation of bank accounts;
  • Maintains subsidiary accounts by verifying, allocating and posting transactions in databases and/or accounting system; checking figures and reporting for accuracy;
  • Completes cash receipts and check requests for approval;
  • Arranges for payment of vendor accounts, reviewing statements and supporting documentation is available before processing payments;
  • Back-up with payroll;
  • Prepares and sends out invoices and receipts to vendors and debtors;
  • Uses trial balance to reconcile ledger entries, reporting irregularities in data to the CFO;
  • Maintains transparent accounting records through system files and organizing/filing documents;
  • Maintains minor inventory accounts and prepares quarterly and annual reports, as needed.
  • Implements financial recording keeping and control policies, programs, and practices in accordance with Federal, State, and Tribal laws, regulations, and guidelines;
  • Prepares all necessary data and financial information for reports required by funding sources and assures reporting deadlines are met;
  • Assists CFO with the required reports including generating the annual 1099s, W-2s, employment reporting, etc.;
  • Scans and files supporting documents for record;
  • Ensures compliance with all regulatory agencies, as well as the Pamunkey Indian Tribe internal controls and other policies governing administrative and procurements matters;
  • Assists the CFO with annual audits by external auditors and agencies;
  • Performs other duties as assigned by the CFO.

Minimum Qualifications

Associate’s degree in accounting or related degree with 21 accounting credits; OR

Five or more years of experience in accounting including accounts payable, preparation of financial statements, and payroll.


Knowledge, Skills and Abilities

  • Knowledge and understanding of GAAP;
  • Knowledge of fund accounting (preferred);
  • Ability to perform multiple tasks concurrently with ease and professionalism while working under pressure to meet deadlines;
  • Can utilize problem solving skills to accomplish tasks;
  • Experience with computer accounting software (Abila MIP preferred), Microsoft Suite, and Adobe;
  • Strong interpersonal skills to work effectively internally and externally with the Tribe;
  • Exercises tact and diplomacy in working with other agencies;
  • Prioritizes and takes initiative on tasks;
  • Works well and independently within a team setting;
  • Strong adherence to policies and procedures;
  • Maintains strict confidentiality;
  • Proven record of being detailed oriented;
  • Understands applications of regulations, contracts, policies and procedures;
  • Ability to establish a good rapport with Tribal Citizens, Chief and Council, contractors, vendors, and colleagues.
