HOW YOU WILL CONTRIBUTE TO OUR TEAM (Overview & Key Responsibilities):

Fostering strong connections both within our team and with our community partners is fundamental to our purpose: to make tomorrow a little better than today. We are seeking a proactive individual to coordinate our community engagement efforts and support our people and culture initiatives. This role involves organizing and overseeing company events and processes aimed at fostering engagement, providing support for our philanthropic and people and culture initiatives, and fostering our philanthropic partnerships.   • Manage the planning and execution of events from start to finish, including being the project planner, onsite contact, and communication.
  • Execute and lead projects and initiatives to support the short and long-term strategic plans for the Bame Foundation and the Community & Well-being department.
  • Develop and maintain a detailed playbook outlining key elements of short and long-term strategic plans, ensuring comprehensive guidance for implementation.
  • Create targeted communication plans for events, identifying channels and audiences to optimize outreach effectiveness.
  • Coordinate event scheduling and create calendar holds for upcoming events in a timely manner to ensuring seamless planning.
  • Input and manage project performance data in Smartsheet for effective project management.
  • Create and manage various sign-up sites to facilitate event participation.
  • Develop and maintain tracking tool for participation of events, nonprofits information.
  • Maintain event budgets to ensure financial accountability.
  • Oversee the ordering and distribution of merchandise for events and campaigns, coordinating with vendors as needed.
  • Develop and manage the annual event calendar, highlighting major events and milestones for efficient planning and execution.
  • Collaborate with philanthropic partners to organize volunteer opportunities, effectively communicating them to the team to encourage participation.
  • Offer support in managing donations, ensuring accurate record-keeping and communication with donors.
  • Schedule, coordinate, and communicate logistics for training, tours, career fairs, and department teams, ensuring effective communication and collaboration.
  • Provide administration support for the foundation and People and Culture team.
  • Oversee external platforms used for team challenges, ensuring seamless participation and tracking.

  • Travel to offsite regional locations to foster partnerships, execute, and support events and initiatives.

WHAT YOU NEED TO SUCCEED (Minimum Qualifications):

Education:

  • High-school diploma or similar

Experience and/or Training:

  • Proficiency in Smartsheet.
  • Familiarity with Microsoft Office suite (Word, Excel, Outlook, OneNote).
  • Ability to manage mass email communications.
  • Experience in creating and implementing event playbooks.
  • Competence in reviewing and negotiating entertainment and event contracts.
  • Experience in event planning and facilitating on a large scale.

Knowledge, Skills, and Abilities:

  • Proficient in leading both in-person and virtual meetings confidently.
  • Willingness to work onsite on a regular basis each week.
  • Strong collaborative skills to effectively work within a team environment.
  • Demonstrated ability to initiate and independently pursue ideas.

WHAT YOU NEED TO SUCCEED (Preferred Qualifications):

Education:

  • Associate's degree in hospitality management, event planning, marketing, communications, or a related field.

Experience and/or Training:

  • Proficiency in event planning
  • Knowledge of 501c3 regulations
  • Familiarity with bookkeeping principles
  • Competence in Microsoft Teams
  • Experience with OneCause platform
  • Familiarity with MoveSpring software

License/ Certification

  • Certification in Event Planning or Hospitality Management
