POSITION SUMMARY

The Front Desk Receptionist plays a crucial role as an informational liaison for the Institute community and external visitors. Reporting to the Facilities and Operations Manager, this position operates the telephone system and greets visitors, effectively assessing their needs and directing them accordingly. The ideal candidate will exhibit professionalism, efficiency, and accuracy in all tasks. Comfort with ongoing public interaction and the ability to maintain a pleasant, courteous, and positive demeanor with diverse individuals, including students, faculty, staff, and visitors, are essential for success in this role.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Operates telephone console to receive incoming calls.
  • Receives visitors and directs them to the appropriate person/area.
  • Performs a variety of clerical duties for Operations as assigned by the Facilities and Operations Manager
  • Performs administrative tasks for other departments as assigned by facilities and Operations Manager
  • Keeps informed of changes in the Institute and makes the information available to community
  • Works with various departments to provide optimum service to the institute and visitors.
  • Receives and signs for packages, mail deliveries and photocopies and notifies recipients.
  • Maintains front desk first aid kit and lost and found articles.
  • Knows Emergency Procedures and is able to relay information to appropriate personnel and/or outside emergency services as needed.
  • Distributes faxes to staff/faculty mailboxes, and stocks copiers with paper.
  • Distributing supplies for staff and faculty.



Job Requirements:

ABILITIES

  • Perform and communicate in a highly professional and effective manner in a rapidly changing environment.
  • Functions at a high level of responsibility and awareness towards the image of the Institute and the accuracy of the information given out, and provides a consistent level of efficiency and competence with courtesy at all times.
  • Must work well under pressure.
  • Must be able to maintain professionalism while experiencing frequent interruptions.
  • Ability to move equipment and furniture.
  • Must take initiative, be self-starting, self-directed, organized, responsible and efficient without close supervision.
  • Maturity, confidence, integrity and experience.
  • Comfortable with AV and technical equipment.
  • Proficient in Word, Excel and E-mail systems.
  • Customer Service focus and attitude
  • Comfortable with enforcing policies such as the ID policy at lobby security desk



Additional Information:

WAGES AND BENEFITS

Salary range $19/hr - $21/hr.

NOTES TO CANDIDATES

  • Working Monday-Friday 8am-4:30pm, full time schedule with ability to have flexible hours or weekends, when necessary.
  • Background Check -- Due to the sensitivity and requirements of our positions, you should expect to undergo and be cleared of an employment background/criminal check, if extended an offer for employment. You may also be asked to provide proof of educational degree(s), licenses, or credentials pertinent to the position. If your job requires driving on behalf of CIIS you will be required to provide proof of a valid driver's license.
