Position DescriptionProdigy Program Assistant

This position is responsible for providing administrative and clerical support for the PRODIGY Cultural Arts Program. PRODIGY is a Department of Juvenile Justice grant-funded prevention program that serves the community. This position requires a good understanding of Program policies and procedures, and the ability to work with instructors, parents, program partners, and community members in a culturally diverse setting.

I. Essential Functions of the Job*

55% Program Support

Serve as a resource person and primary point of contact for persons wanting information about the PRODIGY program. Work with the Site Manager to facilitate a flow of information to administrators, staff and program participants. Coordinates space/reserves locations for courses.

  • Provide assistance to youth to facilitate their understanding of course assignments.
  • Facilitate youth’s engagement in artistic endeavors.
  • Provide other classroom assistance under the direction of art instructors’ including but not limited to:
  • Assist youths with sign-in procedures.
  • Assist in distributing course materials to youths during class.
  • Assist youths prior to class session in transferring from adjacent partnering programs into the PRODIGY cultural arts classes.
  • Assist youths in procuring transportation at end of class session.
  • Monitor youths during break periods, and during transitions to other locations.
  • Accompany youths to restroom facilities (ages 6-12 only).

25% Classroom Management (% as needed during class time)

  • Assist in conducting classroom activities according to PRODIGY program procedures, regulations, and classroom rules.
  • Assist instructor in maintaining classroom order conducive to learning.
  • Assist instructor in reporting in a timely manner, classroom incidents and youths’ progress to PRODIGY administrators.
  • Assist instructor in monitoring daily attendance.

15% Facilities and Property Maintenance

  • Maintains clean, organized workspace.
  • Maintains organization of classroom supplies and equipment.
  • Informs PRODIGY Site Manager when materials need to be ordered or replaced.
  • Reports any damaged or broken equipment to PRODIGY Site Manager.
  • Adheres to PRODIGY program safety and security procedures and regulations.

5% PERFORMS OTHER INSTRUCTOR ASSISTANT RELATED DUTIES AS NEEDED, including but not limited to participation in PRODIGY sponsored extracurricular events, substitute teaching and clerical work as assigned.

Machine and equipment usage is based on course curricula and are specific to course content. Generally, the studio assistant will not be asked to use office equipment unless under special assignment, the details of which are case specific, and participation is completely voluntary.

Describe the type and extent of instructions or directions normally given to the incumbent of this position by the immediate supervisor:

Immediate supervisor is Site Manager who will provide general instruction, collaboration on course curricula, and regularly scheduled information meetings with PRODIGY administrators and staff. Occasionally, the Site Manager may assign additional work projects outside of the Instructor Assistant duties according to PRODIGY needs.

Working Hours:

To be determined by PRODIGY program needs within the range of general daily program hours which are from 3:00 pm to 7:00 pm, Monday through Saturday. Additional hours may be required for extracurricular events and may include weekends and evenings.

Education/Training/Experience:

Specialized Minimum Qualifications:

  • High school diploma or equivalent General Education Degree.
  • Experience working with children

Preferred Qualifications:

  • A.A. degree (or equivalent in education and experience) in a related field including but not limited to the fields of education, child development, the arts.
  • 6 months of art instruction experience (or equivalent in education).

Knowledge, Skills, & Abilities:

  • Knowledge of classroom dynamics.
  • Knowledge of and ability to apply cultural sensitivity in a classroom setting.
  • Skills in classroom communications and ability to communicate and relate to youth.
  • Skills in communication with fellow employees, youths, parents, program partners, researchers, and program administrators.
  • Ability to communicate effectively in writing.
  • Ability to work with youth grades 1st through 12th.
  • Ability to work independently.
  • Ability to understand and apply program procedures, regulations, and rules.
  • Ability to interact with co-workers and youths effectively in all types of situations.
