We are seeking a Project Coordinator to coordinate all subcontractor workflow, including work assignments, issuance of addendums, QC, and invoice approval within the assigned area. Maintain a high degree of knowledge in equipment and specifications related to the design, mapping, and engineering of fiber optic communications systems. The right candidate will have outstanding communication skills, be proficient in organization, and be team oriented.

Responsibilities

  • Set up new projects in assigned softwares.
  • Assign and monitor new jobs for a specific region(s).
  • Receive fielding documentation and upload to correct locations on the server.
  • Review and send completed designs to customer(s).
  • Monitor and release the project flow schedule to the customer and management team weekly.
  • Release and monitor new design jobs to subcontractors.
  • Coordinate workflow, for large jobs, in-house employees in conjunction with subcontractors.
  • Communicate with management regarding projects, quality control (QC), turnaround times and other aspects of the project.
  • Conduct weekly conference calls with subcontractors, as required, and maintain up-to-date minutes of all calls and distribute weekly to all participants.
  • Compile reports for distribution to management.
  • Provide all necessary job information to subcontractors.
  • Subcontractor management to include ensuring weekly production reports are turned in, monitoring production and work quality daily.
  • Ensure QC corrections are completed by subcontractor along with any other QC feedback that is necessary.
  • Ensure signed addendums are received prior to work starting.
  • Create queries and pivot tables to compile data for tracking purposes.
  • Review invoice backups to ensure they are correct and ready to be invoiced.
  • Ensure delivery of final product to customer.
  • Perform other related duties as assigned by management.

Qualifications

  • Associate’s degree in Business Administration or similar field of study.
  • 2-3 years’ experience in project coordination, administration, or a related role with successful supervision of projects and/or teams.
  • The ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Skilled in utilizing the Microsoft Office Suite, with hands-on experience in working with pivot tables.
  • Well-organized with an ability to work confidently in a high-pressure/high-energy environment.
  • Must be able to handle subcontractor issues and concerns effectively and in a timely manner.
  • Professional communication, demonstrated through exceptional written and verbal abilities.
  • Ability to take initiative, make decisions and handle various tasks simultaneously while working efficiently, effectively, and independently under minimal supervision.
  • Must be willing to learn new product lines and technologies to serve the departmental needs and goals.
  • The use of analytical and observational skills which demonstrate an ability to plan projects, review/recommend technical specifications, coordinate staffing needs, communicate, and manage all aspects of a project.
  • Knowledge of human-computer interaction principles

Shift is full-time Monday – Friday between the hours of 8:00 am – 5:00 pm CST. Must be flexible, and willing and able to work outside normal business hours as necessary.
