Position Summary: The Business Office Assistant is an essential member of the team. Providing support with skill and professionalism this role will include a wide variety of administrative functions. In addition to maintaining our vision by adhering to our values, this position must provide the highest level of service to customers and employees.
Principal Duties and Responsibilities Clerical / Office
- Perform a variety of clerical accounting duties in support of assigned accounting functions such as accounts payable, accounts receivable, billings, and purchasing; process and verify various financial forms and documents; prepare accounts receivable billings; assist with balancing assigned accounts as directed. ?
- Collect, assemble, match, sort, tabulate, check and post a variety of financial and statistical data such as supply orders, journal entry logs, categorical fund receipts, reconcile statements, records and other financial documents as required; review data for accuracy and completeness. ?
- Maintain various auditable records related to income, expenditures and assigned accounts; establish and maintain filing systems. ?
- Answer telephone calls and direct calls to appropriate personnel; take and relay messages as appropriate; send and receive emails. ?
- Receive, greet and direct visitors; respond to inquiries and provide a variety of general information to employees. ?
- Process accounts receivable as assigned; receive, code and verify incoming monies; prepare and process receipts; check money totals against receipts and invoices to ensure accuracy. Receive, review, process, sort and file invoices as assigned; prepare invoices for payments; assemble and distribute materials with required documents; maintain contact with vendors to resolve discrepancies related to invoices and payments. ?
- Receive, review and verify a variety of accounting information; input a variety of accounting data into an assigned computer system; maintain automated financial records; assist auditors as necessary. ?
- Maintain accurate accounting of vehicle mileage logs, vehicle fleet and driver information. ?
- Communicate with personnel and outside agencies to exchange information and resolve issues or concerns. ?
- Operate a variety of office equipment including a calculator, copier, fax machine, computer and assigned software. ?
- Perform various clerical duties in support of assigned functions as required; prepare routine correspondence; duplicate and distribute materials
Minimum Qualifications
- High School Diploma or equivalent is required
- Associate degree (A. A.) or equivalent from two-year College or Technical School; and / or one to two years related experience and/or training; or equivalent combination of education and experience, preferred
- Prior experience in business office/accounting functions required
Knowledge, Skills, and Abilities
- Demonstrated competence with Windows based software including Microsoft Office, Word, Outlook, PowerPoint, OneNote and Excel.
- Ability to maintain confidentiality of sensitive materials and information
- Excellent written and verbal communication skills, verbally and in writing
- Knowledge of NetSuite Accounting system a plus
- Excellent organizational and multi-tasking skills
- Able to maintain excellent customer service skills and presence during a fast-paced, changing environment
- Accurate typing/data entry and editing skills; keen eye for detail
- Ability to spot and resolve problems efficiently
- Ability to understand and carry out verbal and written instructions
- Interact professionally and maintain effective working relationships with management, vendors and co-workers
