ACCOUNTS PAYABLE SPECIALIST


SUMMARY: The Accounts Payable Specialist is responsible for the accounts payable function at the specific COE. The primary responsibilities include approving vendor invoices for payment and processing payments efficiently in addition to Job Costing duties as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Accounts Payable

  • Process incoming invoices by performing three-way match and obtaining proper approvals
  • Review purchase orders and received items in the PO system and ensure items are received properly and coded to the correct general ledger account
  • Communicate with other teams and locations regularly for outstanding items
  • Match and audit all non-purchase order invoices
  • Review invoices for proper treatment of sales and use tax
  • Accurately enter vendor invoices for payment and review entries for completeness and accuracy
  • Request and/or generate payments weekly (check, ACH, and wire)
  • Address and investigate all vendor inquiries, Request and review vendor statements regularly
  • Perform month end closing activities (cutoff, accrual, and reconciliation)
  • Prepare sales and use tax return, as required by states of operation
  • Prepare manufacturing exemption certificates
  • Maintain vendor records by requesting updated information and verifying information provided

Job Costing, as needed

  • Collect information daily to price closed jobs
  • Track trial jobs completed and post monthly journal entry to the general ledger
  • Resolve outstanding items for job costing and send completed jobs to Cost Accounting Analyst timely

Other duties

  • Cross train to assist and backup other areas of accounting
  • Assist with annual audit procedures and requests
  • Support department projects by completing research and gathering documents
  • Maintain detailed and up-to-date documentation of department procedures
  • Adhere to company safety guidelines, attend and participate in all company mandated meetings and safety programs, and complete required trainings timely

EDUCATION and/or EXPERIENCE

Associate's degree (A. A.) or Bachelor's degree in accounting or related field preferred, or equivalent experience. Accounting experience preferred, or related field.

  • Strong communication and organizational skills and close attention to detail.
  • Ability to work independently and prioritize based on deadlines
  • Proficiency in Excel (pivot tables, formulas, etc) and Outlook


LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.


MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.


REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
