POSITION SUMMARY:  
The Food & Beverage Purchasing Clerk requires a detail-oriented and organized individual. This role is responsible for receiving, inspecting, and documenting all incoming food and beverage shipments. Additional responsibilities include data entry for managing orders, transfers, and inventory for culinary items, as well as liquor, beer, wine, and other beverages throughout the entire club. This position works closely with Culinary, restaurant Managers, accounting, and vendors to ensure the accuracy and quality of received products, maintaining compliance with company standards and regulatory requirements.

ESSENTIAL JOB RESPONSIBILITIES:  
  • Receiving: Receive and inspect all incoming food and beverage deliveries, verifying the accuracy of quantities, items, and specifications against purchase orders and delivery documents. Transferring efficiencies between departments with general ledger codes.
  • Quality Control: Inspect incoming shipments for freshness, quality, and compliance with food safety standards and regulations.
  • Documentation: Accurately record and document all received shipments, including quantities received, condition of products, and any discrepancies or damage observed.
  • Data Entry: Enter all purchase orders daily into the Cedar Creek system, including orders, receipts, invoices, transfers, and inventory adjustments for culinary items, as well as liquor, beer, wine, and other beverages.
  • Inventory Management: Update inventory records and systems with received quantities and ensure proper storage and rotation of products in accordance with FIFO (first in, first out) principles. Build new items, suppliers, and order sheets in the procurement system.
  • Coordination: Coordinate with kitchen staff, food and beverage managers, and other relevant personnel to ensure timely and efficient processing and storage of received items.
  • Accounting: maintaining accurate inventory records within the procurement program, controlling costs, and supporting the financial health of the club.
  • Compliance: Ensure compliance with company policies, procedures, and regulatory requirements related to receiving, storage, and handling of food and beverage products.
  • Sanitation and Safety: Maintain cleanliness and organization in receiving areas, adhering to sanitation and safety protocols to prevent cross-contamination and ensure food safety.
  • Problem-Solving: Identify and resolve any issues or challenges related to receiving operations, escalating concerns as needed to management.
  • Continuous Improvement: Identify opportunities for process improvement and efficiency in receiving procedures, contributing to the overall effectiveness of the food and beverage department.
KNOWLEDGE AND SKILLS QUALIFICATIONS:
Knowledge Qualifications:
  • Procurement Systems: Understanding of procurement systems, such as Cedar Creek or similar software, to accurately enter data, manage orders, and track inventory for food and beverage items. Ability to have high organization skills with food and beverage inventory daily.
  • Food Safety Regulations: Understanding of food safety standards and regulations, including HACCP (Hazard Analysis and Critical Control Points) guidelines, to ensure compliance during receiving, storage, and handling of food products.
  • Beverage Products: Knowledge of different types of beverages, including liquor, beer, wine, and non-alcoholic beverages, their characteristics, and proper storage requirements.
  • Inventory Management: Familiarity with inventory management principles, such as FIFO (first in, first out), to ensure proper rotation and storage of products and prevent waste.
  • Cost analysis: efficiency in receiving and having invoices match all receiving reports.
  • Quality Control Procedures: Knowledge of quality control procedures and techniques to inspect incoming shipments for freshness, quality, and adherence to specifications.
  • Basic understanding of CRV and tax codes.
  • Computer Skills: Proficiency in basic computer skills, including data entry, spreadsheet software (e.g., Microsoft Excel), and email communication.

  • Customer Service: Basic customer service skills to interact with vendors and suppliers in a professional and courteous manner, addressing any concerns or issues effectively.
  • Time Management: Effective time management skills to prioritize tasks, meet deadlines, and ensure timely processing of shipments and data entry.
  • Communication: Understanding of effective communication techniques to interact with fellow ambassadors, vendors, suppliers, and as well as to document and report any issues or discrepancies.
EDUCATION, EXPERIENCE, CERTIFICATIONS, AND LICENSES:
  • Minimum of 2 years’ experience in Food and Beverage
  • Proficiency in basic computer skills, including data entry, spreadsheet software (e.g., Microsoft Excel), and email communication.
  • State of California approved current Food Handlers Card
  • High school education or equivalent (Culinary School graduate preferred)
PHYSICAL REQUIREMENTS: (with or without accommodations)
•         Ability to lift 50lbs.
  • Ability to stand/walk up to 8 hours per shift.   
  • Must be able to frequently sit, stand, bend, push, pull, use hands and talk or hear, stoop, kneel, crouch, crawl, and walk.
Wage Range: $28-$30 hourly
