Project Sourcing and Contracting Specialist:

Position Summary

Prepare, consolidate, analyse, and manage the execution of project procurement activities ensuring the assigned projects adhering to the clear scope, timing, defined milestones, budget and a final delivery date. As well as striving for lowest total cost of ownership and conforming to company standards and values.

 

Responsibilities

· Participate in the definition of and execute the project procurement plan.

· Participate and where applicable perform suppliers and contractors prequalification.

· Prepare Request for Tender and or Request for Quotation and or Expression of Interest and associated documents.

· Compile and seek approval of Tender List and or proposed participating tenderers / suppliers.

· Facilitate and appropriately administer tender process, adhering to Company policies and procedures and ethical standards.

· Facilitate fair and equal tender evaluation, clarification and where applicable tender briefing with potential tenderers.

· Participate and where applicable lead commercial negotiations with the relevant tenderers.

· Draft and coordinate recommendation for award to the recommended supplier/ contractor.

· Facilitate and provide guidance on contract drafting by Legal representatives.

· Lead the Contract formation upon agreement by the Parties of the relevant Terms and Conditions, Contract Schedules and or Programme.

· Facilitate timely execution of contract signatures and acknowledgement of purchase orders.

· Maintaining strong supplier and Project team relationships.

· Administration from package award to close out including kick off, progress meetings, securities administration, variations, correspondence, notices, invoice claims schedule administration and maintaining the currency of all applicable procurement registers.

· Working cohesively within a project / procurement delivery team environment to ensure schedule cost and compliance requirements are met.

· Contribute to the improvement of purchasing workflow practices, inter alia quality, cost, efficiency and / or conveying of information to areas of the business as applicable, to enhance the delivery of Projects to schedule.

· Continuous knowledge sharing and provision of good practices with the project team through efficient reporting in relevant systems and facilitating where applicable procurement lesson learnt.

· Ensure cohesiveness between the Project Team and relevant Supplier.

 

Qualifications

· Bachelor’s degree in Procurement or Purchasing or relevant field preferred.

· Experience in Project Procurement (non transactional).

· Proficient in English. Other languages are an asset.
