IMS is an ABR Prime contractor specializing in USN, Military Sealift Command, United States Coast Guard, and NOAA ship, craft and boat repair. We are a for profit company that performs both firm-fixed and cost-plus contracts for the United States Military and other governmental agencies.

 

Role Description

This is a full-time on-site role for a Full Charge Bookkeeper located in San Diego, CA at Integrated Marine Services, Inc. The Accounting Department Manager will be responsible for the management of the company's day-to-day accounting operations, including accounts receivable, accounts payable, bank reconciliations, and inventory tracking. The Accounting Department Manager will prepare and present the monthly financial reports to upper management and work closely with the company's CPA for annual tax filings. 

 

Qualifications

  • 7+ years of experience in bookkeeping and accounting
  • Strong knowledge of Generally Accepted Accounting Principles (GAAP)
  • Proficiency in Sage 100 and Microsoft Office Suite
  • Set-up new jobs in Sage 100 and create job file for management, budgeting and billing.
  • Prepare job reports according to company’s needs to track performance against budgets, or for other purposes.
  • Coordinate job close out with project managers, including review of open POs for possible de-scoping.
  • Management Accounts Payable and process timely to avoid any late payments, ensuring compliance with company’s SOPs and GAAP. Take advantage of discounts when available. Administer Treasury Management program for ACH payments including authority to release funds. Coordinate with purchasing for correct vendor set-up and tracking.
  • Complete Accounts Receivable invoicing according to client’s requirements. Resolve any collection issues. Experience with PIEE/WAWF government electronic invoicing, receipt and acceptance software is a plus.
  • Cash management of all bank accounts, including petty cash. Make bank deposits. Reconcile accounts monthly.
  • Manage the preparation of monthly financial statements according to GAAP. Prepare monthly Work-in-Progress schedule. Distribute to owner, CPA and banks as appropriate.
  • Manage preparation of income analysis, budget, gross profit, cash forecasting and other custom reports as directed.
  • Manage preparation and submit and administer all insurance claims, including workman’s comp and auto.
  • Audit and maintain Certificates of Coverage on all Subcontractors.
  • Set-up and maintain personnel records. Ensure all required documentation is obtained. Manage all related inquiries or claims, including but not limited to employment verification and unemployment insurance claims. Track and report vacation, PTO, and sick leave availability and usage.
  • Have extensive experience with payroll processing (internal and 3rd party processing) and compliance
  • Administer company employee benefits such as health, dental, vision and life insurance. Explain coverage to employees. Direct annual open enrollment.
  • Administer 401(k) plan, including enrollment, payroll deferrals and participant requests. Comply with reporting and distribution of plan update information. Compile annual census for Profit Sharing calculation and ensure accuracy. Review, sign and submit annual Form 5500.
  • Manage and coordinate all business insurances including General Liability, Workman’s Comp., Health, Property, Auto and Excess Liability, including negotiation of renewal terms. Administration of Insurance Claims. Assist in the preparation of annual audits and review for accuracy with agencies.
  • Maintain records for company’s fleet of vehicles, including timely renewal of registration and documentation of maintenance and repair by vehicle.
  • Excellent communication and interpersonal skills
  • Ability to work independently and manage multiple tasks simultaneously with a high degree of accuracy.
  • An associate or bachelor's degree in accounting, finance, or a related field is preferred.
