Job Description: HR Onboarding Specialist- Monday thru Friday- 8am-5pm The pay will depend on experience Range $50K-$55K.

We are looking for a dedicated and detail-oriented onboarding specialist to join our team at our San Antonio, Fl. Pasco county location.  In this role, you will recruit and assist new hires through a seamless onboarding process, ensuring their successful integration into our organization.

As an onboarding specialist, you will collaborate closely with various departments to coordinate resources, conduct recruiting/onboarding sessions, and address logistical needs. Your exceptional communication skills will be vital in effectively communicating our company's culture, policies and procedures to recruits. Additionally, you will facilitate connections between new employees. Hiring managers and their colleagues, promoting collaboration and a sense of belonging within our company.

Objectives of the role

•             Providing necessary information and resources to facilitate successful recruiting to transition to a new employee and ensuring a smooth onboarding process.

•             Implementing our comprehensive onboarding programs that align with the company's values and culture.

•             Coordinating with Hiring Managers and their recruiting needs, providing an overview of the company's mission, vision, and policies.

•             Serving as a point of contact for new hires, addressing their questions and concerns and managing the onboarding process.

•             Collaborating with the HR team, the hiring managers, and other stakeholders to ensure a smooth and accurate transition of the new hire.

•             Facilitating the completion of new hire paperwork, including employment contracts, benefits enrollment, and other necessary documentation and spreadsheets.

•             Monitoring the progress and integration of new employees, identifying any challenges, and providing support as needed.

 

Tasks and responsibility

•             Plan and coordinate the logistics of recruiting needs, new employee onboarding, including scheduling and preparing materials.

•             Conduct communication sessions and training with hiring managers and introduce new hires to the company's culture, values, policies, and procedures.

•             Schedule and coordinate onboarding activities, providing guidance and support to new hires throughout the process.

•             Ensuring completion of paperwork and following all legal and administrative compliance when onboarding candidates, I-9 verification etc.

•             Assisting new hires with the completion of the necessary paperwork, including employee forms, benefits enrollment, and IT setup. 

  •       Prepare employee files, assuring accuracy, compliance, and confidentiality.
  •       Maintain recruiting records and retention reports by preparing, creating and or completing monthly reports in excel.
  •      Assists employees in onboarding and benefit-related questions.
  •       Other human resources projects and tasks assigned.

 

Required skills and qualifications.

•             5+ years of experience in onboarding and recruitment with a proven track record of successful onboarding processes and employee retention.

  •         Trustworthiness and ability to maintain confidentiality.

•             Strong knowledge of onboarding best practices, HR policies and procedures, and employment laws.

•             Demonstrable understanding of labor laws and regulations to ensure compliance during the onboarding process.

•             Strong organizational skills to manage and streamline the onboarding process efficiently.

•             Excellent communication and interpersonal skills to build rapport with new employees and establish a positive employment experience.

•             Attention to detail and organizational skills to coordinate and manage multiple onboarding processes simultaneously and recruiting reports.

•             Adaptability and flexibility to accommodate the diverse needs and backgrounds of new employees.

•             Ability to collaborate and work effectively with remote team members.

 

Preferred skills and qualifications

•             Certification courses in human resources management, like SHRM or related fields of experience.

•             Proficiency in using HRIS systems and experience with different applicant tracking systems.

•             Knowledge of HR analytics to enable data-driven decision-making and strategic workforce planning.

•             Proficiency in MS Office Suite.

  •        Excellent oral and written communication skills
  •        Ability to work in a team setting as well as individual initiatives.

•             Knowledge of labor laws and regulations related to HR compliance, onboarding, and employee documentation.

•             Bachelor's degree in human resources, business administration or 5+ years’ experience in related fields of HR, recruiting and onboarding.

 

Physical Requirements 

Ability to communicate both orally and in writing on a telephone and on a computer for extended periods. Routinely requires sitting at a desk and viewing a display screen for extended periods. Ability to access, input, and retrieve information from a computer or other electronic device. Routinely requires moderate (up to 40 pounds) lifting and carrying. Routinely requires walking, standing, sitting, kneeling, stooping, reaching up, twisting, and bending. Good hearing and vision are required.
