Description

Medica's Human Resources (HR) Executive Assistant provides high-level administrative support to our HR department and will play a pivotal role in ensuring smooth and efficient operations. Our Executive Assistant will be responsible for managing administrative tasks, facilitating communication, and enhancing the effectiveness of the team.

Key Accountabilities will Include:

  • Providing comprehensive administrative support to the HR leadership team, including managing calendars, scheduling meetings, and handling correspondence
  • Preparing and coordinating materials for meetings, including agendas, presentations, and reports
  • Serving as the primary point of contact for internal and external stakeholders, representing the team and maintaining effective communication
  • Coordinating and facilitating communication between the team and other departments, handling inquiries and requests in a professional manner
  • Supporting special projects, initiatives, and events, including coordinating logistics, preparing materials, and tracking progress as well as collaborating with other departments and team members to ensure the timely and efficient completion of projects and deliverables
  • Proactively manage the executives' schedules, priorities, and deadlines, optimizing time and resources

Successful candidates will have demonstrated administrative support experience. We are ideally seeking trusted and reliable professionals who are motivated by providing support and assistance in a wide range of administrative and organizational tasks and bringing valuable contributions to our leader team.

This opportunity will be based out of our office in Minnetonka, MN and will be an in-office position.

Qualifications:

  • High School Diploma, or equivalent; Associate's degree preferred
  • 4+ years of administrative support experience

Additional Skills and Experience:

  • Demonstrated ability to manage multiple calendars
  • Experience arranging virtual meetings and teleconferences on a variety of platforms
  • Previous background working within and maintaining confidential information
  • Must possess strong organizational, time management, verbal and written communication skills
  • Resiliency and ability to adjust to dynamic situations
  • Ability to self-initiate, offer creative alternative thinking to develop and implement cost and performance efficiencies
  • Strong interpersonal and relationship-building skills
  • Decision-making and analytical skills
  • Excellent project management skills
  • Excellent computer skills (Microsoft Office Suite)

The full salary range for this position is $48,600 - $83,300. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and/or licensure, the position's scope and responsibility, internal pay equity and external market salary data.
