Hunter Hamilton is partnering with an innovative medical manufacturer seeking an Executive Administrative Assistant to support their Finance and Investor Relations team. While the position has flexibility for remote work, the ability to be onsite at minimum 2-3 times a month in the Acton, MA office is vital. This is a contract to hire position, meaning that the opportunity may exist to convert to a full time hire based on performance, attendance, business need, etc.
The Executive Administrative Assistant will be responsible for Investor Relations system/website implementation and continuous updates, database management, conference oversight and other key IR events, meetings and earnings call preparations and related press release logistics and prep assistance. Primarily works with the Vice President of Investor Relations and acts as the first point of contact for IR. Responsible for all coordination, planning, scheduling and managing internal and external IR meetings. Oversight of IR projects as assigned. Should have excellent communication skills (both verbal and written), strong organizational skills, a high level of attention to detail and the ability to work autonomously and with a sense of urgency of a very fast-paced environment.

Responsibilities:
* Oversee Investor Relations website, including continual updates and posts and ensuring accuracy and completeness. Own the strategy and implementation of a new IR website should we change vendors, including vendor selection and negotiations.
* Research, analyze and prepare summaries of analyst notes and key peer/industry developments for ultimate distribution to executive team and company.
* Responsible for consensus analytics and updates in collaboration with Finance.
* Develop briefing books for all earnings calls and investor conferences and other investor events for use by the executive team. Own, implement and streamline the process.
* Manage logistics for all earnings calls and other webcasted investor and external company events, including creating press releases and processes.
* Manage Investor Relations events (NASDAQ closing/opening bell participation, ADA tradeshow, Investor Days, bus tours, non-deal roadshows,etc.) for employees and external company functions, including investor-facing events, calls and meetings. Manage key deliverables around events, such as presentation webcasts and meeting schedules, briefing materials/binders. Direct all meeting details, formulate agendas, and create presentations.
* Oversee Investor Relations relationships with and processes for: wire service, IR website hosting, consultants (billing and contracts), webcast providers, NASDAQ, etc.
* Oversee process for contact management database.
* Create and/or review internal and external presentations including Board presentations and monthly updates.
* Own the process for obtaining and distributing information from online platforms (e.g., Capital IQ, FactSet, BD Corporate), such as transcripts, announcements, FactSet updates, investor profiles and analyst summaries around key events.
* Multifaceted project management as needed.
* Develop processes for IR projects and deliverables.
* Govern specific vendor and consulting relationships.
* Build and influence relationships cross-functionally across the company.
* First point of contact for Investor Relations internally and externally, including working closely with the entire Executive Assistant team.
* Attend Investor Relations meetings and networking events.
* Maintain and protect highly confidential corporate information and communicate information within scope of authority.
* Manage Vice President of Investor Relations schedule by arranging meetings and appointments.
* Manage VP of Investor Relations' Contacts within Outlook.
* Manage the IR activities in our database, spreadsheet/reference documents, corporate calendar.
* Arrange domestic and international travel.
* Prepare purchase orders and check requests.
* Prepare expense report for the VP of Investor Relations, if needed.
* Perform other job duties as required.

Education and Experience:
* Bachelors degree
* Minimum of 3 - 5 years experience in investor relations preferred
