Position Qualifications :

·         Education: High School diploma or equivalent.  Some college preferred.

·         Experience: 3-5 years of office experience, including 2 years of related experience, construction background preferred.

·         Technical Skills: Strong computer skills, with proficiency in the use of Microsoft Office Suite (Excel, Word, etc.) and fundamental working knowledge of ProCore construction software is required.

Position Summary:

·         Take progress photos of the project a minimum of (2) times each week and upload/ maintain them in chronological order in ProCore.

·         Manage the document control process for the Weekly Site Safety Meetings (provide a new safety meeting each week for the superintendent to utilize, record/ document attendees, upload to ProCore, etc.)

·         Manage the document control process for the Weekly Subcontractor Meetings (take meeting minutes during meetings, upload and manage meeting minutes in ProCore, distribute the 3-Week schedule and meeting minutes each week).

·         Issue, track, and verify completion of any Safety Violations necessary to maintain compliance (per the direction of the Superintendent).

·         Schedule/ coordinate GotSafety to perform site safety inspections (with Superintendent input)

·         Management of the project safety documentation process to ensure it is received, up to date, and entered into ProCore (JHA’s, SDS’s, Certifications, sub safety meetings, etc.)

·         Maintain, organize, and manage all aspects associated with the construction office in order to ensure it meets compliance, functions efficiently, and presents a professional appearance at all times (including all Safety documentation, signage, first aid kits, EEO, drinking water, cleaning, copy supplies, visitor PPE, emergency numbers, etc.)

·         Maintain written reports and log of any accidents, incidents, and/ or near misses in ProCore.  Forward to PROSET CONSTRUCTION, INC., corporate office immediately (SEE SAFETY MANUAL FOR SPECIFICS).

·         Manage and maintain the Site Visitor Log and waivers.

·         Manage the SWPPP process, by scheduling SWPPP inspections, issuing and tracking of inspection reports to subcontractors, documentation of compliance via pictures and written confirmation from subcontractors, etc. and uploading of all documentation into ProCore.

·         Manage document control of all 3rd party, architect, engineer, bank, building department and/ or other project inspections utilizing ProCore.

·         Print, update, and maintain hard copy field drawing sets in such a manner as to ensure the most current approved drawings are being utilized at all times (as needed by the Superintendent).

·         Manage the complete document/ drawing control process from start to finish, in an organized and expedient manner (request, track the status of upload into ProCore, etc.).

·         Help create RFI’s with direction/ information provided by the Superintendent, PM, etc.

·         Manage the complete RFI process from start to finish in an organized and expedient manner utilizing ProCore (upload RFI’s, track status of, request updates from whoever is “ball in court” until RFI is considered closed by Subcontractor/ Superintendent/ PM).

·         Manage the complete Submittal/ Shop drawing process in an organized and expedient manner utilizing ProCore (request submittals/ shop drawings, upload submittals, track status of, request updates from whoever is “ball in court”, track resubmittals, etc. until Submittal is considered closed by Subcontractor/ Superintendent/ PM).

·         Manage the contract documentation process for subcontractors and vendors once released by PM, including receipt of signed PO/ Contract's/ CO's, insurance, W9's, OCIP, etc. (track, request updates from subs, ensure all documents are received and upload into ProCore).

·         Support the PM and Superintendents with coding and processing of invoices (if needed).

·         Maintain and update Project Directory and Emergency contact lists.

·         Help with documentation of the PROSET, Owner, and Arch Punch walks.

·         Manage Safety Assessment/Check on-site per GotSafety and CDC Guidelines, due to an unforeseen pandemic or natural disaster

·         Procure materials as needed or as requested by the Superintendent/ PM (including pick up of materials if needed).

·         Perform any errands, shipping, etc. needed or as requested by the Superintendent/ PM.

·         Manage the document control process with/ through the local Building Department (scheduling/ tracking inspection dates, submitting of deferred city submittals, submitting of drawing revisions, etc.) as requested by the Superintendent/ PM.

·         Archive job site files and support the Superintendent as needed in the Redline drawing process.

·         As part of the day-to-day document control process, ensuring that all team members, subcontractors, and other necessary parties associated with each document are included in each distribution list (with support from the PM and Superintendent, if necessary).

·         Assist in preparing and distributing O&M manuals – including warranties.

·         Complete other responsibilities as assigned.
