The Accounting team is hiring an Account Representative.

The Account Representative at Cboe will perform a variety of accounting, customer service and clerical tasks for OPRA customer accounts. Supports and assists with duties and processes relative to customer service, billing, monitoring of delinquent accounts and those sent to third party collectors, and all collection activities.

Your responsibilities will be:

  • Service a group of vendor and customer accounts as single point of contact for market data services, ensuring high levels of customer service. Communicate regularly with vendors and customers via phone, email, or mail. Respond promptly to inquiries from customers regarding questions or issues with their account; investigate and resolve customer issues. Send information to new customers. Obtain vendor contracts and verify the details of service provided to customers.
  • Verify and update customer contact information to maintain accurate information in databases/systems. Maintain account files/system notes relative to correspondence and documents. Receive and scan documents (such as subscriber agreements and contract documents) into document imaging system. Process returned mail, perform search for current addresses and update records.
  • Prepare vendor and direct-billed customer invoices using data in billing system. Ensure billing data is accurate by maintaining device inventory and entering device detail for non-VARS (Vendor Automated Reporting System) vendors when applicable. Move devices and verify current invoice and proration information. Provide information regarding invoice charges, send invoice copies and account statements.
  • Maintain accounts receivable records. Review payment information and adjust entries to customer account balances as needed. Record cash receipts. Create journal entries to adjust customer accounts. Consolidate and separate customer accounts. Analyze credit balance accounts to be refunded.
  • Act as a liaison with outsourced collection services to collect outstanding balances on past due accounts and/or resolve issues. Maintain account file/system notes relative to correspondence and documents. Monitor customer account details for non-payments, delayed payments and other irregularities. Analyze and adjust customer accounts, provide additional information, and research payments. Review and take action on accounts within procedural guidelines, or make recommendations for action, such as account adjustments, termination of service, collection activities or write-offs. Submit approved accounts to third party collectors and act as a liaison until final resolution.
  • Provide general departmental support and customer service by being available for and responsive to phone/fax lines and email inbox. Provide backup support for colleagues and/or other areas of the department.
  • Provide support in connection with accounts undergoing bankruptcy or similar proceedings including reviewing Court notices, updating account notes, and maintaining reference lists.
  • Perform other duties and special projects as assigned.

The ideal candidate has:

  • Working knowledge of general office administration and procedures, general account principles, and collections processes.
  • Experience working with Microsoft Outlook, Word, and Excel.
  • Respond to inquiries or requests for assistance promptly and courteously; identify customer needs through active listening and clarifying questions; meet commitments and check for customer satisfaction; manage difficult or emotional customer situations W
  • Work cooperatively in group situations; offer assistance and support to co-workers; balance team and individual responsibilities; exhibit objectivity and openness to others' views; give and welcome feedback
  • Create clearly-written, organized documents and correspondence with correct grammar, spelling and punctuation
  • Organize and express ideas clearly and understandably when speaking to individuals or groups; use professional grammar and word choice; listen to others and respond appropriately
  • Be thorough and precise when accomplishing a task; double-check accuracy to consistently provide high-quality work with minimal errors; compare work to what is expected to find and correct inconsistencies; remain aware and take care of details for all aspects of the job involved, even those easy to overlook
  • Evaluate, analyze, and summarize data and facts; establish logical connections; form sound decisions based on analysis
  • Minimum Years of Work Experience: 2+ years
  • Minimum Education Requirement: Associates degree in relevant field or equivalent experience
