Description:

Position Purpose:

The position is responsible for performing duties related to the processing of trust accounts transactional activity, including cash management of receipts and disbursements, maintaining trust documentation for archiving, trust tax reporting support, vault archiving and audit request support projects. Demonstrates Civista Bank's mission to improve the financial lives of our employees and shareholders, to make a difference in the communities that we serve.


Key Accountabilities, Responsibilities, and Expectations:

  • Process account opening, closing and maintenance requests, reviewing all required documentation for accuracy and compliancy.
  • Posts daily transactions of receipts, disbursements and related deposits and withdrawals in a timely, accurate and efficient manner.
  • Reviewing, processing, and maintaining account fees on a monthly basis and as needed.
  • Submitting the request for month-end statement generation after all transactions have been reviewed and completed then transferring them to a Fileshares folder for printing.
  • Set-up client online access and troubleshoot issues, answering client questions.
  • Keeping up with current tax law changes and communicating new information to the team.
  • Serves as a back-up for cash management operational responsibilities of the Trust Dept.
  • Assists in the preparation and coordination of information for audits, as needed and required.
  • Setting up and maintenance of accounts for Performance reporting.
  • Performing FINCEN reviews of new and existing clients or account relationships, communicating with the Bank's BSA area of any findings.
  • Acts as a backup for executing and placing trades.
  • Reviewing trade activity for accuracy as needed and scanning into client files.
  • All other duties as assigned and any activities that support the key accountabilities.


Requirements:

Qualifications, Knowledge, and Skills:

  • One year of basic accounting/clerical experience; Trust Operations or Bank Operations support experience preferred.
  • College degree preferred. High School Diploma or equivalent, considered with successful completion of in-house training program or other approved training program.
  • Strong customer service and problem-solving skills and demonstrated ability to respond to inquiries with tact, diplomacy, and patience.
  • Ability to follow detailed instructions and a wide range of procedures requiring sound judgement.
  • Exceptional organization, time management and follow-up skills. Excellent interpersonal skills and ability to communicate effectively with customers, bank employees, and outside service providers.
  • Knowledge of banking industry practices relative to the trust and investment area.
  • Ability to manage multiple priorities/projects with varied deadlines.
  • Must have proficient typing and computer skills, specifically Microsoft Word and Excel and the ability to navigate computer programs.
  • Must maintain a high level of confidentiality.



Physical Demands:

  • Ability to view computer screens and read reports for long periods of time.
  • Ability to work under sometimes distracting work conditions.
  • Ability to move files of up to 15 lbs.
  • Ability to sit for long periods at a time.
  • Ability to travel to attend meetings or training.
