Job Title: Front Office Receptionist - Outpatient ClinicKey Responsibilities:

  1. Patient Engagement: Greet and assist patients, visitors, and vendors with a friendly and professional demeanor. Manage incoming calls, triage inquiries, and provide accurate information or direct to appropriate personnel.
  2. Appointment Scheduling: Efficiently manage the scheduling system, coordinate appointments, and maintain updated calendars. Confirm appointments, follow up on missed appointments, and reschedule as necessary.
  3. Administrative Support: Perform various administrative tasks such as data entry, filing, scanning, and maintaining electronic and physical records. Manage patient forms, insurance verifications, and assist with billing inquiries.
  4. Patient Intake: Collect and verify patient information, insurance details, and relevant documentation. Ensure all necessary paperwork is completed accurately and efficiently.
  5. Resource Management: Manage inventory and ordering of office supplies, ensuring adequate stock levels. Assist in coordinating with vendors and service providers as needed.
  6. Compliance and Confidentiality: Uphold HIPAA guidelines and maintain patient confidentiality at all times. Ensure compliance with clinic policies and procedures.


Skills and Qualifications:

  • Communication: Excellent verbal and written communication skills. Ability to interact professionally with diverse individuals, including patients, staff, and external parties.
  • Organizational Skills: Strong organizational abilities with attention to detail. Capable of multitasking and prioritizing tasks effectively in a fast-paced environment.
  • Technology Proficiency: Proficient in using electronic health record (EHR) systems, Microsoft Office Suite, and other relevant software applications.
  • Customer Service: Prior experience in customer service or a similar role, demonstrating empathy, patience, and a customer-centric approach.

Education and Experience:

  • High school diploma or equivalent required. Additional certification in office administration or related field preferred.
  • Proven experience in a receptionist or administrative role, preferably in a healthcare or clinic setting.
  • Familiarity with medical terminology, insurance processes, and EHR systems is an advantage.
